Position: Recruiting Assistant

Location: Grand Rapids, MI
Schedule: MondayFriday, 8:00 AM 5:00 PM
Pay: $18 (based on experience)

Position Overview

We are seeking a professional and organized Recruiting Assistant to support daily office operations and assist with candidate management. This role serves as the first point of contact for applicants and clients while supporting the recruiting team with screening, onboarding, and administrative tasks.

Key Responsibilities

Front Desk & Administrative Duties

• Greet and assist all walk-in applicants, employees, and clients

• Answer and direct incoming phone calls in a professional manner

• Maintain a clean, organized, and welcoming office environment

• Schedule interviews and manage calendars for the recruiting team

• Perform data entry, filing, and general administrative support

• Collect timecards weekly

Recruiting Support

• Conduct initial candidate screenings (phone and in-person)

• Assist with interview coordination between candidates and clients

• Prepare and process new hire paperwork and onboarding documents

• Ensure all candidate files and records are accurate and up to date

• Support recruiters with day-to-day hiring activities

Candidate & Employee Support

• Provide excellent customer service to candidates and field employees

• Assist applicants through the onboarding process step-by-step

• Follow up with candidates regarding next steps and employment details

• Address basic employee questions and escalate when needed

Qualifications

• Previous experience in administration, customer service, or recruiting support preferred

• Strong communication and interpersonal skills

• Comfortable working in a fast-paced, people-focused environment

• Proficient in Microsoft Office (Word, Excel, Outlook)

• Strong attention to detail and organizational skills

• Ability to multitask and stay organized throughout the day
