Program Specialist

POSITION OVERVIEW

The Program Specialist, Member Programs role provides day-to-day operational and administrative support across Vistage’s portfolio of strategic member resources: Strategic Planning by Vistage, the Business Valuation Tool, and the Transaction Center. Reporting to the Senior Relationship Manager, this role acts as a conduit between the Support Center and the Vistage community. The role ensures members, Chairs, experts, and internal stakeholders receive timely, accurate, and well-organized support, collects and curates feedback from the community, and plays an active role in driving resource adoption across the member community.

KEY RESPONSIBILITIES

Member & Inquiry Support

1. Respond to general email inquiries across programs (Strategic Planning, Business Valuation, Transaction Center) and ensure timely, accurate responses
2. Track Session Request forms and support scheduling and related communications
3. Support facilitation and onboarding of members and Chairs onto the platforms, walking them through access, setup, and available resources

Adoption & Engagement

1. Proactively follow up with members and Chairs who have accessed but not fully engaged with resources, to support and drive adoption
2. Assist in collecting member success stories, data points, and insights to support marketing, content, and new initiatives

Metrics & Tracking

1. Manage tracking of usage and engagement metrics across all programs (Strategic Planning, Business Valuation, Transaction Center, Experts, Alumni, etc.)
2. Track recurring issues and member questions to help identify trends and opportunities for improvement

Content & Communications

1. Prepare and draft content, communications, outreach, and updates for the Vistage community across the strategic resource portfolio
2. Coordinate webinar scheduling, materials, invites, emails, and production logistics
3. Help maintain content within each program platform, including tagging, calendar of events, webinars, discussions, and member stories
4. Conduct basic reviews of program content, links, and materials to ensure accuracy

Program Improvement

1. Gather and document feedback across programs to drive program and process improvements
2. Maintain an up-to-date understanding of key features across Strategic Planning, Business Valuation, and the Transaction Center

C ross-Functional Coordination

1. Manage the logistics and follow-through of interactions between Chairs, Groups, experts, and internal stakeholders — scheduling touchpoints, preparing materials, and tracking which resources have been shared with whom
2. Organize notes, tasks, and follow-ups to keep cross-functional workflows moving

QUALIFICATIONS

1. Bachelor’s degree or equivalent
2. 5+ years of experience in product support, relationship management, customer service or a similar role
3. Strong written and verbal communication skills
4. Comfortable and credible communicating with a C-Suite audience (CEOs, business owners, and senior executives)
5. Highly organized with strong attention to detail and the ability to manage multiple priorities across concurrent programs
6. A team player receptive to feedback and guidance
7. Basic project management skills and a process-oriented mindset with a proactive, collaborative approach
8. Comfortable working cross-functionally with internal and external stakeholders
9. Familiarity with tools such as Office 365 Suite and SharePoint, Salesforce, WordPress
10. Interest in or exposure to strategic planning, business valuation, Mergers and Acquisitions, or the SMB community is a plus

TOTAL COMPENSATION RANGE

The expected annual pay range for this position is $75,000 - $85,000. This range includes a target annual bonus equal to 6.5%. The salary provided reflects compensation for candidates based in San Diego, CA. Compensation will be determined based on the successful candidate's experience, qualifications, skills, and other job-related factors.
