Position Description:

Manages personnel and budgetary matters for a department or college. Exercises discretion and independent judgment to oversee the activities of staff and the financial processes to ensure fiscal responsibility of department/college. Ensures staff and faculty have the resources to complete their work. Usually serves as a hiring manager and employee service coordinator.

Major/Essential Functions:

Support the Department/School overall to include centers or institutes as needed for the following:

• Oversee departmental financial operations, including budget planning, reconciliations, payroll verification, purchasing, travel, financial reporting, and year-end activities.

• Serve as Employment Services Coordinator (ESC), managing hiring, appointments, position actions, onboarding/offboarding, and faculty search processes.

• Coordinate summer budgets, SIF fees, inventory, endowment reporting, space reporting, and other departmental business operations.

Support the Department Faculty & Staff overall to include centers or institutes as needed for the following:

• Oversee departmental administrative operations, including office/space needs, employee records, leave and time entry, and overall quality control of business processes.

• Maintain departmental operational resources and provide faculty and staff with financial and administrative support, including funding updates.

Support the Department Chair to include the following:

• Provide administrative support to the Department Chair, including scheduling, correspondence, travel, reporting, and special projects.

• Coordinate personnel appointments and assist with strategic departmental activities, Annual Faculty Reviews, and Tenure/Third-Year Review processes.

SCHOLARSHIP/FELLOWSHIP Oversight:

• Oversee departmental scholarship and fellowship processes, including endowed scholarships, graduate recruitment awards, out-of-cycle awards, and related tracking and reporting.

Support the Nutritional and Metabolic Health Initiative:

• Provide financial and administrative oversight for NMHI, including reconciliations, reporting, budget planning, employee appointments, funding decisions, and business operations.

Research Administration:

• Oversee research grant financial administration, including reconciliations, reporting, budget planning, employee appointments, and funding allowability.

• Provide guidance and oversight to ensure research-related purchasing, travel, and other business activities follow appropriate procedures.

Other Assigned duties:

• Stay current on TTU policies and procedures and communicate relevant changes to departmental faculty and staff.

• Support departmental safety, required reporting, reception/office operations, student needs, and other duties as assigned.

Knowledge, Skills, and Abilities:

Service oriented. Ability to prioritize workload under tight deadlines; work cooperatively with faculty and staff. Knowledge of university organization, faculty responsibilities, and motivations; willingness and ability to work well with others and also independently; ability to multi-task. Strong initiative, and perform with acute attention to detail. Proficient with Microsoft Excel.

Required Qualifications:

Bachelor's degree and four years of experience developing or managing programs or projects. Additional job related education may be substituted for the required experience on a year-for-year basis.

Preferred Qualifications:

Prefer a degree related to accounting or finance and work experience related to this position. Experience with financial reconciliation, grant management and administration, and higher education processes. Experience with administrative processes and internal TTU systems

Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as the institutional pay plan.
