Project Administrator

We are seeking an experienced Project Administrator for supporting property administration and residential housing operations. This role is ideal for a detail-oriented professional with experience in property management, residential housing projects, tenant relations, compliance, and staff supervision.

The Project Administrator will help ensure smooth day-to-day operations, strong resident service, accurate reporting, timely collections, and compliance with applicable housing program requirements. Key Responsibilities:

- Oversee daily property administration, maintenance coordination, common area operations, resident services, and compliance with established procedures.
- Supervise assigned staff, promote adherence to company policies and safety standards, and support a collaborative, customer-focused work environment.
- Manage resident and applicant relations, occupancy processes, vacant unit readiness, transfer requests, rent collection, billing, and related follow-up.
- Ensure accurate completion of annual and interim recertifications, rent change notifications, monthly vouchers, operational reports, and regulatory documentation.
- Maintain compliance with applicable housing program systems and requirements, including USDA Rural Development, Section 8, HOME, LIHTC, EIV, and related programs when applicable.
- Conduct daily property inspections, coordinate emergency response activities, manage petty cash records, and maintain audit-ready operational files.

Additional Skills

Required Qualifications:

- 3/5 years of previous experience in property management, facilities management, or residential/commercial projects.

- Experience supervising staff.
- Strong leadership, organizational, and customer service skills.
- Proficiency in computer applications and report preparation.

- Ability to manage multiple tasks, prioritize responsibilities, and work independently. 
- Administer day-to-day property operations for residential housing or property management projects.
- Coordinate occupancy, rent collection, recertification, reporting, and compliance documentation.
- Supervise staff and coordinate maintenance, unit readiness, inspections, and resident service activities.
- Support regulatory compliance for housing programs and maintain accurate records for audits and agency reviews.
- Experience supporting or administering federally funded housing programs.
- Experience with USDA Rural Development, Section 8, HOME, LIHTC, CDBG, FEMA, or similar housing, recovery, or compliance programs.
- Familiarity with MINC, EIV, HOME Program systems, COL, or other housing compliance and reporting platforms.
- Knowledge of Fair Housing requirements and Affirmative Fair Housing Marketing Plan compliance.
- Bilingual English and Spanish communication skills preferred.
