Job Summary The Administrative Coordinator is primarily responsible for client intake, onboarding, and scheduling. Acting as the face of FTC, they will ensure a quality first experience for parents, continuously monitoring client pulse and addressing family needs through frequent touchpoints. Responsibilities Obtain and enter demographic and clinical data ensuring HIPAA compliance. Handle client calls and emails, responding promptly. Develop effective communication with clients and staff. Maintain relationships to inspire continued engagement. Monitor and measure client satisfaction. Liaise with internal teams to resolve client queries. Coordinate scheduling with the clinical operations team. Guide clients on services and offerings. Develop surveys and capture client information. Onboard and offboard clients. Assist with client requests and troubleshoot problems. Maintain accurate client files. Develop and implement strategies to improve client services. Report and present performance metrics to team leads on a recurring basis. Report concerns directly to the supervisor promptly. Qualifications Associate or bachelor’s degree in business administration, healthcare management, or related field. Previous experience in client services or customer support, preferably in healthcare or pediatric settings. Experience handling client inquiries, resolving issues, and maintaining positive relationships. Compassionate and patient approach toward pediatric clients and families. Proficient with computer systems and CRM software; familiarity with electronic health records or scheduling systems is a plus.
