Personal Assistant

Our client is seeking a highly organized, discreet, and proactive Personal Assistant to provide dedicated support in a full-time capacity. This is a trusted role suited to someone who can confidently manage a dynamic schedule, coordinate across multiple priorities, and serve as a reliable point of contact in both professional and personal matters.
You will act as a gatekeeper, liaison, and operational extension of the Managing Director across professional and personal domains. The role requires discretion and the ability to move seamlessly between strategic executive support and detailed personal logistics.
Details:
- Employment Type: Direct Hire
- Schedule: Fully onsite, 5 days per week, with approximately 80% of work conducted from the executive’s residence (Malibu) and 20% from the office (Santa Monica)
- Flexibility to travel to trade shows and industry events as needed
- Availability to communicate outside of standard business hours when required
- Must possess a valid driver’s license and reliable transportation, as the role will include running personal and business-related errands
Key Responsibilities
- Coordinating Leadership Team Meetings including agendas and action tracking.
- Supporting Managing Director communications and ensuring effective information flows across the business.
- Proactively managing a complex and ever-changing diary across business and personal commitments.
- Acting as a key liaison across the organization to ensure alignment and efficiency.
- Coordinating domestic and international travel including flights, accommodation, visas and ground transport.
- Handling personal errands, household bills managements, shopping, organizing maintenance staff and service providers.
- Able to travel internationally for trade shows & industry events.
- Various ad hoc tasks as delegated by the Managing Director.

Qualifications:
- Well presented, minimum 5 years’ experience in a similar Personal Assistant role supporting a senior executive
- Exceptional organizational and time management skills
- Strong written and verbal communication skills
- Intermediate to advanced Microsoft Office skills
- Excellent attention to detail and problem-solving ability
- The ability to work autonomously while managing competing priorities
- High emotional intelligence, discretion, confidentiality and integrity.
- Highly adaptable.
- Strong relationship management skills.
- Comfortable navigating both corporate and personal environments.
- Calm under pressure of short deadlines and unexpected change of plans.
- Confidence to raise issues if clarification needed.
