Field Service Administrator

Benefits begin the month following the hire date. Salary: The hourly wage for this position ranges from $22.00 – $27.00 and varies based on specific responsibilities and geographic location. The starting hourly rate within this range will be determined based on the candidate’s experience, qualifications, and/or skillset. Summary: This position is responsible for managing field service and customer inquiries related to service requests. The role coordinates and processes service maintenance agreements, creates accurate billing entries and monthly invoices, and works closely with RSMs, sales, and accounting on contract changes. Essential Functions: Respond to inquiries from field techs and customers; investigate billing problems, collect documentation, review and adjust discrepancies, and resolve issues. Follow up with customers to ensure problems are resolved. Input data into computer systems to process SMAs and auto‑generated work orders with accuracy and initiative. Ensure D365 and NAV invoices match; correct discrepancies. Validate data and close all service work orders to produce invoices. Create monthly, quarterly, and annual invoices for SMAs. Provide weekly/monthly SMA reports. Set up assets or changes in NAV and D365. Make SMA changes in D365 and NAV. Request new accounts via portal for NAV and input new accounts into D365. Create transfer and MAP orders for service techs. Expedite and monitor van stock and MAP orders; follow up with purchasing to ensure part availability for scheduled service calls. Process credit memos and re‑bills as required. Train employees as assigned (cross‑train). Close field RMAs. Submit requests for certificates of insurance. Qualifications: Education: High School Diploma or GED required. Experience: 2+ years of field service support experience. ERP system experience. Able to work in a fast‑paced environment.
