Account Management Coordinator

Job Summary The Account Management Coordinator assists and supports the Account Management Team and serves as the liaison between our Field Service and Billing Departments. The Coordinator must be responsive to client needs, work well in a team, adapt to a rapidly changing environment, and operate with minimal direct supervision. Due to the sensitive nature of the position, discretion and confidentiality are required. Duties and Responsibilities Monitor and maintain customer work order networks and refrigerant tracking websites as assigned. Process quotes in customer work order networks and in‑house software for customers. Complete invoicing in customer work order networks and in‑house software for assigned customers. Process and track manufacturer warranty claims. Follow up on parts ordered by purchasing. Create purchase orders for sub‑contractors used on service jobs. Follow up with Account Managers on customer quotes that are inactive, aged, or not accepted. Manage dispatches for review, finalize, and submit to billing. All other duties as assigned. Desired Skills, Certifications, and Education Excellent oral and written communication skills. Strong communication skills. Detailed and accurate. Strong organizational skills. Good problem‑solving skills. High School Diploma/GED. 3+ years of clerical or administrative experience. Computer knowledge must include MS Office (Word, Excel, Outlook). Operation of general office equipment. Physical Requirements and Working Conditions Regularly required to sit, stand, and walk; occasionally lift and/or move up to 25 pounds. Noise level is usually moderate.
