Financial Administrator

Job Full Description

Express Employment Professionals is recruiting for our Jamestown, NY client. Our client is looking for a part time Financial Administrator. The Financial Administrator serves as the primary contact for financial matters, working closely with staff, leadership, volunteers, members, and business affiliates. This individual will manage financial records, reporting, payroll, accounts payable, and budgeting functions while maintaining the highest level of confidentiality and professionalism.



Qualifications

• Experience in bookkeeping and accounting
• Strong understanding of financial reporting, including balance sheets, income and expense statements, and cash flow reports
• Proficiency with QuickBooks, Microsoft Excel, and Microsoft Office applications
• Ability to learn specialized financial management software
• Excellent organizational, communication, and interpersonal skills
• Strong attention to detail and accuracy
• Ability to handle confidential information with discretion
• Positive attitude and customer service mindset

Key Responsibilities

Daily Duties

• Maintain organized financial records, invoices, contracts, and related documentation
• Process and pay invoices in accordance with established schedules and policies
• Verify financial documents for accuracy
• Answer incoming phone calls professionally and courteously
• Welcome and assist visitors

Weekly Duties

• Assist with counting and recording contributions
• Enter contributions into financial management software
• Prepare and make deposits
• Process semi-monthly payroll
• Track and reconcile employee time and attendance
• Prepare payroll and attendance reports
• Generate weekly cash flow reports

Monthly Duties

• Prepare comprehensive financial reports including:
  • Income & Expense Statements
  • Balance Sheets
  • Cash Flow Reports
  • Payroll and Employee Hours Reports
  • Budget Performance Reports
  • Account Reconciliations
• Reconcile all financial accounts
• Attend monthly evening board/council meetings
• Participate in finance-related meetings as needed

Quarterly Duties

• Prepare and distribute contribution statements
• Assist with financial planning and fund allocation discussions

Annual Duties

• Enter pledge and budget data for annual financial planning
• Assist with annual budget preparation
• Support annual audits
• Attend annual meetings and provide financial updates

Schedule

• Part-Time
• Approximately 20 hours per week
• Flexible schedule with some evening meeting attendance required

Pay will start at $20+/hr.
