Patient Administrative Specialist

Job Details

  • Pay: $35.00 per hour
  • Shift Schedule: Mon-Fri
  • Shift Time: 7:30am-4:00pm
  • Duration: 13 weeks initially
  • Location: Palo Alto, CA (Onsite daily during onboarding, then hybrid schedule)

Minimum Qualifications

Education:

  • High School Diploma or GED equivalent required

Required Experience:

  • Minimum 1-2 years work experience in healthcare administrative, prior authorization, or patient support role
  • Familiarity with Epic HER (workqueues, In Basket documentation), CoverMyMeds (CMM), and payer/PBM portals
  • Proficiency with computers and office technology including keyboard, mouse, headset, scanners, printers, and eFax systems
  • Strong working knowledge of Microsoft Outlook, Word, Excel, web browsers, and virtual communication platforms such as Microsoft Teams and Zoom
  • Ability to effectively manage multi-line phone or softphone systems in a fast-paced healthcare environment
  • Excellent verbal and written communication skills with a strong customer service focus

Job Requirements:

  • Initiate, submit, and track medication prior authorizations and renewals using Epic and CoverMyMeds.
  • Document all authorization actions, communications, and outcomes accurately within the EHR.
  • Make timely phone calls to PBMs, pharmacies, clinics, and patients to gather information, resolve issues, and provide status updates.
  • Manage inbound and outbound faxes including sorting, labeling, scanning, indexing, and routing documents appropriately.
  • Monitor workqueues and in-baskets to ensure timely follow-up on pending cases, denials, and appeals.
  • Verify insurance benefits and coverage criteria and coordinate with providers regarding alternative therapy options when needed.
  • Maintain confidentiality and compliance with HIPAA regulations and organizational policies.
  • Provide professional and compassionate customer service while adhering to care communication standards.
  • Support department operations through additional administrative duties assigned by leadership.
  • Utilize office technology and communication tools including Microsoft Outlook, Word, Excel, Teams, Zoom, scanners, eFax systems, and multi-line phone systems.
