Lead Paralegal

Privacy Legal Assistant Remote $80,000-$90,000 DOE Position Summary The Privacy Legal Assistant supports the organization's Privacy and Compliance programs by coordinating privacy-related activities, managing regulatory documentation, assisting with investigations, supporting audits, maintaining policies and procedures, and serving as a liaison among Compliance, Legal, Human Resources, and operational stakeholders. This role focuses on healthcare privacy, regulatory compliance, and risk mitigation activities. While incumbents may possess legal education or attorney licensure, the position does not engage in the practice of law, provide legal advice, establish attorney-client relationships, or represent the organization in legal proceedings. Essential Duties and Responsibilities Privacy Program Administration Support day-to-day administration of the organization's privacy compliance program. Maintain privacy policies, procedures, forms, and guidance documents. Monitor regulatory updates related to HIPAA, state privacy laws, and healthcare compliance requirements. Assist in implementing privacy program initiatives and corrective action plans. Privacy Incident Management Coordinate intake, tracking, and documentation of privacy incidents and potential breaches. Assist in gathering facts, documentation, and evidence for privacy investigations. Maintain investigation files and case management records. Support preparation of breach notification documentation and regulatory submissions as directed. Compliance Monitoring and Auditing Assist with privacy audits, monitoring activities, and compliance reviews. Compile data, perform documentation reviews, and prepare audit reports. Track findings, recommendations, and remediation activities. Maintain audit schedules and supporting records. Regulatory and Documentation Support Prepare and maintain compliance logs, reports, and records. Coordinate retention of privacy and compliance documentation. Support responses to regulatory requests and internal inquiries. Assist with contract reviews involving privacy-related provisions under established guidelines. Training and Communication Coordinate privacy and compliance training activities. Maintain training records and completion metrics. Develop educational materials, job aids, and awareness communications. Support department communications regarding privacy obligations and compliance requirements. Cross-Functional Collaboration Serve as a resource to business partners regarding privacy processes and documentation requirements. Coordinate with Legal, Human Resources, Information Security, Clinical Operations, and other stakeholders on compliance initiatives. Participate in compliance committees, meetings, and projects as assigned. Reporting and Analytics Prepare recurring compliance and privacy metrics. Analyze trends related to incidents, audit findings, and training completion. Develop dashboards and presentations for leadership review. Track departmental goals and compliance program effectiveness measures. Required Qualifications Bachelor's degree in Business, Healthcare Administration, Compliance, Legal Studies, Public Administration, or related field. 3+ years of experience in healthcare compliance, privacy, legal operations, risk management, regulatory affairs, or related field. Strong organizational, analytical, and documentation skills. Experience supporting HIPAA Privacy programs. Healthcare industry experience a plus. Certified in Healthcare Compliance (CHC), Certified HIPAA Professional (CHP), Certified Information Privacy Professional (CIPP), or related certification. Juris Doctor (JD) degree or active attorney license preferred; however, legal licensure is not required. Knowledge, Skills, and Abilities Knowledge of healthcare privacy regulations, including HIPAA. Understanding of regulatory compliance frameworks and audit practices. Ability to interpret policies, regulations, and procedural requirements. Strong project coordination and documentation management skills.
