Facilities Planning, Sr Project Manager

Position Summary At Stony Brook Medicine, the Facilities Planning, Sr Project Manager will provide project management services for the design of new facilities and alterations to existing facilities. Responsibilities include identifying and diagnosing existing system conditions, developing design solutions, and preparing construction documents. When working with external design consultants, the incumbent will participate in planning, review design and final construction documents, and inspect completed work to ensure compliance with specifications. The role requires management of program development, project scheduling, and budgeting, as well as procurement of outside architectural and engineering services through RFP/RFQ processes. The incumbent will collaborate closely with Fire Safety, Environmental Health and Safety, hospital community members, and outside consultants/contractors. Responsibilities Work on Stony Brook Medicine projects across facilities including SBM community physician practices, administrative offices, Stony Brook Hospital, Ambulatory Care Pavilion, Ambulatory Surgery Center, Southampton Hospital, and Eastern Long Island Hospital. Consult with hospital administration, physicians, and clinical staff to aid in strategic planning for additions or renovations that improve patient care quality and efficiency. Create and review RFQs and RFPs for services and commodities, analyze and level bids, maintain contracts and purchase orders, and confirm compliance with NYS procurement guidelines. Develop and coordinate design and construction plans for assigned projects. Analyze and assess corrective measures or connectivity to new work from documentation and on‑site observations. Work with construction estimators to develop appropriate estimates and scope of work, performing value engineering when indicated. Coordinate and implement design revisions to meet clinical and code compliance needs, reviewing with code compliance and fire safety managers. Complete Pre‑Construction Risk Assessment and Infection Control Risk Assessment as required by The Joint Commission (TJC). Coordinate with HAS staff, including electrical and architectural designers, draftspersons, and support staff; manage activities of external design and engineering consultants. Provide project and construction management to trades and contract labor, track time and materials, and initiate adjustments, extensions, and scope changes when necessary; maintain documentation and provide bi‑monthly status briefs to the Associate Director, Facilities Planning. Survey the hospital environment to ensure construction compliance with hospital regulations, Department of Health codes, TJC requirements, ASHE, ASHRAE, ASTM, and Facilities Guidelines Institute (FGI) Guidelines. Establish regular progress meetings with contractors and vendors; notify practice administrators, department heads, and designees of project activities and progress. Collaborate with other units to minimize disruption to building occupants and systems, utilities, and other operational elements. Maintain contacts with outside organizations such as government agencies and professional associations to support planning activities. Maintain project records, files, and reports; record change orders that develop throughout the project. Coordinate furniture, fixtures, and equipment (FF&E) purchase, delivery, and installation dates to meet project scheduling needs. Mentor and guide junior project managers within the department. Other professional duties as assigned. Qualifications Required Qualifications Bachelor’s degree and a minimum of 7 years’ experience in hospital facilities planning or facilities and construction project management. Healthcare‑related experience that includes involvement with clinical and administrative staff in planning; design and code compliance; presentation of preliminary drawings and prototypes; preparation or revision of drawings and construction documents; coordination and supervision of consultants and contractors; and oversight of building construction or alteration. Preferred Qualifications Working knowledge of Department of Health codes, TJC requirements, ASHE, ASHRAE, ASTM, all applicable building codes, and FGI Guidelines for Design and Construction of Hospitals. Salary and Benefits The salary range for this position is $100,000 – $135,000 per year. The specific offer will be based on validated years of comparable experience.
