We're looking for a Client Relations Coordinator who lights up around clients, has an eye for what makes an event unforgettable, and knows how to keep a hundred moving pieces headed in the same direction, gracefully. This isn't a wait-for-the-phone-to-ring kind of job. You'll own your orders from the very first "hi, I'm planning an event…" all the way through execution and follow-up. Most of the people you'll work with are event coordinators and planners, not brides, so you're often the detail-management partner behind the scenes making sure their client's vision actually comes together. That means proactively filling in the blanks so they don't have to: catching what's missing from an order, thinking through logistics before anyone has to ask, and building proposals that feel thought-through, not just filled out. You'll have real ownership of your book of business, and a team behind you making the magic actually happen. What You'll Own The Client Experience — Be the trusted voice clients count on from inquiry to post-event follow-up, so they feel supported, informed, and genuinely excited to work with us. The Vision — Listen closely to what clients are dreaming up, then use your product knowledge to bring it to life. Sometimes that means delivering exactly what they asked for. Sometimes it means catching what they haven't thought of yet and proactively filling in the gaps. The Sale — Build proposals, follow up, manage changes, collect payments, spot opportunities to add value, and move business forward with confidence. You'll have goals, and we want someone who genuinely enjoys hitting them. The Details — Keep accounts, orders, change orders, payments, and documentation sharp and organized in RW and HubSpot. Beautiful events run on invisible details. Yours will be the ones nobody notices because nothing went wrong. The Logistics — Timelines, loading information, and set-up instructions aren't an afterthought here, they're what make or break an event day. You'll make sure every order has clear, accurate details so our warehouse and delivery teams can execute exactly as planned. The Handoff — Partner closely with our showroom, logistics, warehouse, and operations teams so what was promised to the client is exactly what shows up on event day. The Curveballs — Events change. Clients change their minds. Things happen. You'll communicate fast, find the fix, and keep things moving without losing your cool (or your sense of humor). You'll Probably Love This Role If You… Are naturally social and comfortable talking to just about anyone Like ownership more than instructions Can sell without ever making it feel like selling Notice the details other people miss, and fix them before anyone has to ask Juggle multiple clients, deadlines, and priorities without breaking a sweat Know how to follow up without dreading the follow-up Get real satisfaction from hitting a goal Work independently but show up as a true teammate Thrive in a creative, fast-paced world where no two events look the same What You Bring High school diploma or GED 2+ years in sales coordination, account management, customer service, hospitality, event rentals, or another client-facing role Strong communication and relationship-building instincts Experience managing orders or accounts start to finish: proposals, changes, payments, all of it Comfort learning and working within CRM and order-management systems HubSpot and/or RW experience is a definite plus Sharp organization and follow-through. Nothing falls through the cracks on your watch Comfort working with logistics details like timelines, loading information, and set-up instructions This is an on-site role.
