Transaction Coordinator
Full-Time | In-House - Essex County
About Us
We are a top-producing real estate team in New Jersey. We close 200+ transactions per year and are growing fast. We are looking for an experienced, detail oriented Transaction Coordinator to join us in house and own the contract to close processes for our agents and clients.
Role Summary
You will manage every transaction from contract creation to closing. You will be the central hub between agents, clients, title, lenders, and vendors.
Key Responsibilities
Open files and manage all transactions from contract execution through closing
Track and enforce all contract deadlines (inspection, financing, title, closing)
Coordinate with title/escrow, lenders, inspectors, and other parties
Prepare, review, and distribute transaction documents and addenda
Send regular status updates to agents and clients throughout each transaction
Maintain accurate records in the transaction management systems
Ensure compliance with state contract requirements and brokerage policies
Assist with post closing tasks including file audits and commission tracking
Identify process gaps and help build or refine team checklists and workflows
Qualifications
Required:
2+ years of transaction coordination experience in residential real estate
Deep familiarity with New Jersey purchase contracts and disclosure requirements
Experience managing high volume (20+ active files at a time)
Proficiency with transaction management software (Dotloop, ZipForms or similar)
Exceptional attention to detail and organizational skills
Strong written and verbal communication
Ability to prioritize and manage deadline pressure
Preferred:
Active real estate license (not required but a plus)
Experience with CRM platforms
Familiarity with DocuSign or similar e-signature platforms
Prior experience on a high-volume team (50+ closings/year)
