Accounting & Payroll SpecialistJob Summary

We are seeking a detail-oriented Accounting & Payroll Specialist to lead Accounts Payable and Accounts Receivable functions while supporting payroll operations for exempt, non-exempt, and union employees. This role is responsible for processing vendor invoices, ensuring timely payments, generating customer invoices, and assisting with payroll administration while maintaining compliance with company policies and applicable federal and state regulations.

Key ResponsibilitiesAccounts Payable

• Review, verify, and accurately enter vendor invoices.

• Communicate with vendors to resolve invoice discrepancies and ensure accuracy.

• Match invoices to contracts and supporting documentation as required.

• Coordinate approvals with Project Managers and Project Engineers.

• Monitor outstanding invoices and ensure timely vendor payments.

• Reconcile vendor statements and promptly resolve discrepancies.

• Reconcile corporate credit card statements and accurately enter transactions into the accounting system.

• Maintain accurate job cost allocations and assist with project budget tracking.

Accounts Receivable

• Generate and distribute customer invoices.

• Process and apply customer payments.

• Monitor aging reports and account balances.

• Follow up on outstanding receivables and ensure accurate application of payments.

Payroll Administration

• Assist with payroll processing, including timecard collection, coding, and payroll preparation.

• Coordinate with project managers and field supervisors to ensure accurate labor coding and documentation.

• Process certified payroll and prevailing wage reporting requirements.

• Ensure compliance with union reporting requirements and applicable labor regulations.

General Accounting & Administrative Duties

• Maintain accurate and up-to-date employee records.

• Support annual audits, including workers' compensation audits.

• Assist with accounting and payroll-related reporting and documentation.

• Support ongoing process improvements and compliance initiatives.

Qualifications

Required

• Minimum 3 years of accounting experience, preferably within the construction industry.

• Experience with construction accounting software (Spectrum experience preferred).

• Strong knowledge of payroll processing and labor compliance regulations.

• Understanding of construction accounting principles and job cost accounting.

• Proficiency in Microsoft Office Suite, particularly Excel.

• Experience working with Google Sheets.

• Strong attention to detail, organization, and time management skills.

Preferred

• Experience processing union, prevailing wage, hourly, and salaried payroll.

• Knowledge of certified payroll requirements and reporting.

• Familiarity with prevailing wage regulations and compliance standards.

• Experience working with union dispatch sheets.

• Prior experience within a construction or project-based environment.
