Academic Operations And Faculty Affairs Specialist

The Academic Operations and Faculty Affairs Specialist provides professional-level operational and administrative support for faculty affairs and academic processes. This role executes established procedures, maintains records, and supports faculty, committees, and academic leadership under the guidance of the Manager of Academic Operations & Faculty Affairs.

Essential Job Functions

• Faculty File & Documentation Support: Maintain faculty files and documentation in accordance with established procedures and regulatory requirements. Track compliance items and escalate discrepancies to the Manager. Assist with documentation for the course schedule, teaching assignment and faculty workload planning, faculty contracts, faculty evaluation processes, and adjunct pay.
• Faculty Recruitment & Onboarding Support: Provide logistical and administrative support for faculty recruitment, onboarding, credentialing, and role transitions. Coordinate communications, scheduling, and documentation. Provide administrative support for faculty in their role.
• Academic Data & Reporting Assistance: Maintain accurate faculty and operational data. Assist in preparing reports for accreditation and regulatory bodies.
• Committee & Shared Governance Support: Provide administrative support for Faculty Organization and committee meetings, including agendas, minutes, and records management.
• Operational & Budget Support: Assist with professional development and Global Outreach logistics, travel arrangements, and expense reporting. Support budget tracking as assigned.
• Event & Academic Operations Support: Assist with planning and logistics for faculty events, orientations, and College events including reserving space, catering orders, room set up, transportation, facilities, audiovisual arrangements, catering orders, set-up and breakdown, preparing materials, advertising the event, and coordination of meetings.
• Administrative & Communication Support: Provide administrative support to the Chancellor, Dean and Associate Dean, Program Directors, the Dean's Administrative Team, and nursing faculty to include: Prepare documents, presentations, correspondence, and reports as directed. Managing phone messages. Scheduling meetings. Meeting minutes. Expense reports. Payroll. Email distribution lists. Special projects. Supply ordering. Basic technology support. Provide responsive customer service to faculty and staff.

Promote a flourishing culture where students want to learn, faculty want to teach, staff want to work, and graduates' flourish. Create and maintain trusting relationships with stakeholders. Resolve administrative problems by analyzing data, identifying possible solutions, and escalating with the nursing administrative team when needed. Licensing/Certification: None

Education: High School Diploma or GED (required)

Work Experience: Proven experience as a project manager with a focus on quality outcomes. (required) Outstanding written and verbal communication skills. Excellent time management, organizational, and prioritization skills. Detail-oriented and deadline driven. Strong technology skills to include mastery of the Microsoft Office package and ability to master the online learning management system (LMS), student information system (SIS), and other educational technologies. Proven success in a fast-paced work environment. (preferred)

Range: Minimum: $22.02 Maximum: $33.04
