Job Summary

We are seeking an HR/Office Administrator to handle a range of administrative and clerical responsibilities in a small office environment, ensuring smooth operations across departments such as Human Resources, Finance, Safety and Operations. The ideal candidate is personable, hardworking, and highly resourceful, demonstrating initiative and a proactive approach to problem-solving.

 

Responsibilities and Duties

  • Greet and assist onsite guests
  • Answer calls and respond to emails
  • Plan and schedule appointments and events
  • Organize files, prepare reports and maintain records
  • Manage office supply orders and track expenses
  • Manage incoming and outgoing mail
  • Oversee office equipment maintenance and schedule service
  • Assist with HR tasks like onboarding and benefits enrollment
  • Perform other tasks as assigned

 

Education, Skills and Qualifications

  • 2-5 years of experience in office administration, basic HR knowledge a plus
  • Beginner to Intermediate in Microsoft Office, specifically Word, Excel and Outlook, and Adobe PDF
  • Spanish bilingual skills preferred
  • Excellent written and verbal communication skills
  • Strong attention to detail with the ability to prioritize tasks and seamlessly multitask in a dynamic environment
  • Ability to quickly learn and apply new knowledge in a fast-paced environment
  • Demonstrates integrity, ethics, initiative, and strong interpersonal skills
  • Capacity to build and maintain strong working relationships at all levels of the organization
  • Proven ability to work independently and meet deadlines consistently
  • Apt to identify process inefficiencies, develop actionable plans, set goals, and work independently or lead improvement initiatives
  • Strong ability to manage confidential information with discretion, integrity and professionalism
  • Proficiency in operating office equipment, including copiers, printers and scanners
