Position Summary The Banquets & Events Coordinator is responsible for generating, planning, organizing, selling, coordinating, and executing all private and club-sponsored events. This position serves as the primary liaison between the member, host, or client and the Club from the initial inquiry through the completion of the event. The Coordinator is responsible for maximizing banquet revenue while delivering exceptional hospitality, flawless execution, and memorable experiences that reflect the standards of Westmoreland Country Club. Primary Responsibilities 1. Sales & Business Development Respond to all banquet and event inquiries within 24 hours. Conduct club tours for prospective clients. Develop banquet sales opportunities. Promote weddings, showers, golf outings, meetings, celebrations, memorial luncheons and social events. Maintain relationships with members for repeat business. Actively pursue new private event opportunities. Maintain an organized sales pipeline. Meet annual banquet revenue goals established by the General Manager. 2. Event Planning Timelines Seating arrangements Menu selections Beverage packages Decorations Entertainment Audio/Visual needs Staffing requirements Children's meals Setup requirements Responsible for preparing accurate: Contracts Setup diagrams Beverage requirements Staffing requirements Rental equipment Special requests Ensure all BEOs are distributed to: Executive Chef Food & Beverage Director Accounting Maintenance Golf Operations (when applicable) 4. Menu Development Working with the Executive Chef: Update pricing annually. Create seasonal offerings. Develop wedding packages. Build golf outing menus. Create holiday packages. Develop beverage packages. Assist in pricing all menus for profitability. 5. Event Execution The Coordinator is expected to be present during major events. Responsibilities include: Greeting hosts Supervising setup Working alongside banquet captains Managing timelines Handling last-minute changes Solving issues immediately Conducting post-event follow-up Coordinate final payments. Verify event charges. Assist Accounting with billing. Monitor event profitability. Recommend pricing adjustments. 7. Member Relations Build lasting relationships. Follow up after events. Generate referrals. Handle complaints professionally. Maintain excellent communication from booking through completion. 8. Administrative Duties Prepare weekly event sheets. Attend manager meetings. Assist with club event planning. Update banquet marketing materials. 9. Collaboration Work closely with: General Manager Food & Beverage Director Executive Chef Membership Director Accounting Golf Operations Maintenance Performance Expectations Performance will be evaluated on: Number of events booked Event profitability Accuracy of BEOs Communication Organization Referral business Professionalism The Banquets & Events Coordinator is expected to: Represent the Club professionally. Maintain exceptional organizational skills. Communicate effectively with every department. Be proactive and solutions-oriented. Promote the Country Club brand through every event.
