Office Associate

The Office Associate effectively operates the front desk for the distributorship, managing phone lines, paperwork, and general accounting. This role performs all administrative duties necessary to support distributor operations, working under general supervision with regular review by the Manager. Qualifications & Requirements

• Education: High school diploma or equivalent required (some college preferred).
• Minimum of 1 year of administrative support experience in a warehouse or retail environment.
• Proficiency in Microsoft Office Suite (especially Outlook and Excel).
• Data entry skills.

salary: $42,000 - $45,700 per year

Responsibilities

Financial & Accounting :

• Accurately maintain Accounts Payable (AP) and Accounts Receivable (AR), including auditing, paying, and filing vendor invoices according to company policy.
• Handle collections and prepare customer invoices, purchase orders, and delivery tickets accurately and in a timely manner.
• Verify cash/payment deposits are accurate and submitted on schedule.
• Perform monthly, quarterly, and year-end closes efficiently and accurately.

Customer Service & Front Desk :

• Provide exceptional customer service both in person and over a multi-line phone system.
• Support front-counter retail sales and operations as needed.

Administrative & Operations Support :

• Upload/download handheld computer devices and process operational data according to schedule.
• Maintain and update the dealer database.
• Assist with inventory counts and research variances.
