Patient Admin Specialist (PAS)

We are looking for a Patient Admin Specialist (PAS) to support front-office operations in an outpatient clinic in San Jose, California. This Contract position focuses on creating a smooth experience for patients by coordinating registration, appointment flow, surgery scheduling support, and other administrative activities. The person in this role will serve as a key point of contact for patients and providers while helping the clinic maintain organized, responsive daily operations.Responsibilities:• Welcome patients at the front desk, manage check-in and check-out activities, and address routine questions about appointments, billing, and visit logistics.• Coordinate new patient intake and assist with surgery-related scheduling while aligning appointments with provider availability and clinic priorities.• Communicate with physicians and care teams to support scheduling decisions and help address urgent patient needs appropriately.• Respond to non-clinical inquiries received through phone, messaging, or CRM channels, and route more complex issues to the correct team members.• Provide administrative support for provider-patient interactions by using reference materials, standard tools, and clinic documentation resources.• Maintain accurate records by updating databases, processing internal forms, and organizing clinic files and related documentation.• Handle incoming and outgoing office communications, including faxes, mail distribution, paging directories, and message routing.• Support service excellence by delivering attentive assistance, managing multiple tasks efficiently, and contributing to department performance standards.
