Executive Administrative Assistant

Primary Duties and Key Responsibilities The Executive Administrative Assistant (EA) at FVLCRUM ensures smooth and efficient operation of all investment supporting functions and provides essential executive-level support to the managing partners. This is a senior-level, exempt and full-time in-office role, designed for self-starters who understand institutional-level support and thrive in a well-ran administrative operational environment. The EA will work closely with the managing partners at FVLCRUM and collaborate with the firm's administrative support team. Additional duties may include, but will not be limited to: Provide executive-level administrative support to firm’s partners and senior advisor by managing calendars, arranging meetings, coordinating travel arrangements, updating and sharing documents, and overseeing the scheduling, logistics, and participant communication for meetings, conferences, and events that may involve travel. Facilitate/manage communication by filtering requests, screening calls and messages, prioritizing urgent matters and handling any items on their behalf when appropriate. Prepare, process, and review correspondence, reports, and presentations to ensure accuracy and timeliness. Executive level support with capital-raising logistics, investor coordination and compliance tracking. Assist Executives in staying organized and aligned: Manage and follow-up on Managing Partners' outstanding tasks on behalf of team members Manage and follow-up on Team members' outstanding tasks on behalf of Managing Partners Keep track of Managing Partners’ meetings by taking notes and tracking action items Manage key relationships on behalf of Managing Partners acting as a trusted liaison and building rapport, tracking important dates and events, and sending gifts. Support to Partners (internal committees, portfolio company boards and external boards) Organize company events (AGM, firm retreats, and regular trainings) Support administrative tasks for the executives, including data entry and document management in CRM, SharePoint, and other corporate systems (both physical and digital), ensuring accuracy and compliance with company policies. Coordinate with the office support team to ensure smooth and timely in-office meetings, guest greetings, room reservations, meals and overall scheduling of meetings and firm events. Assist in meeting set-up to include conferencing technology, online meetings, presentations, etc. Maintain a professional and respectful email tone when following up with investors, strategic partners, vendors and staff. Coordinate with the CFO to ensure that all expenses incurred by the executives, on behalf of the firm, are accurately and timely documented in the expense management system. Maintain organized and accurate documentation of all processes (SOPs) and policy documents to ensure efficient and sustainable operations, as well as compliance. Answer phone calls, respond to emails, and handle inquiries promptly and professionally. Manage phone call logs and all correspondence for the respective executives, ensuring effective and timely communication. Ensure the confidentiality and security of sensitive information and adhere to data protection regulations and compliance. Other responsibilities may be assigned as needed. Qualifications Strong Administrative Assistance and Executive Administrative Assistance skills, including calendar and travel management, meeting coordination, and executive support. Excellent Communication skills and phone etiquette, with the ability to interact professionally with executives, colleagues, and external partners. Proficient Clerical Skills, including document preparation, filing, data entry, and basic office systems and technology. High level of organizational skills, time management, and ability to handle confidential information with discretion. Proficiency with productivity tools (e.g., Microsoft Office; email and calendar applications). Prior experience supporting senior or executive-level leaders in a corporate or professional services environment preferred. Ability to work on-site with the admin team (5-days per week) in the Bethesda, MD office and collaborate effectively within a team-focused environment. Associate’s or Bachelor’s degree in Business Administration, Communications, or a related field is beneficial but not required. #J-18808-Ljbffr
