Full Time Maintenance Coordinator - Property Management

Job Overview The Maintenance Manager will report to the Executive Director with support from the Regional Director of Facilities. This is an exempt, salaried position. The Maintenance Manager will plan, organize, and manage the operations of the maintenance and housekeeping programs and departments, ensuring efficiency, safety, and regulatory compliance within the assigned community. Salary Range: $65,000 - $70,000 yearly. Essential Duties and Responsibilities Manage the Maintenance and Housekeeping departments. Monitor community expenditures monthly to maintain compliance with the community’s monthly budget. Assist in recruitment, selection, and evaluation of department personnel. Develop department and personnel schedules, including work hours, assignments, and cleaning schedules. Ensure compliance with all federal, state, and local regulations, as well as community policies and procedures. Maintain required logs, inspections, and requirements per state and federal regulations (e.g., water temperature logs, monthly fire extinguisher checks, building and life safety inspections). Monitor life safety policies and procedures to meet regulatory standards, including building codes and fire safety. Maintain departmental system software (e.g., Yardi, DSSI, TELS). Assist with vendors and contracts for all departmental systems and operations, including fire alarm, sprinkler, elevators, HVAC, mechanical, plumbing, generator, kitchen hoods, snow removal, landscaping, and trash removal. Maintain all access control systems, door hardware, and keying systems. Perform general maintenance work and hands‑on maintenance duties when required (snow removal, painting, carpentry, plumbing, light electrical). Operate, maintain, and diagnose mechanical, HVAC, plumbing, fire sprinkler, fire alarm, electrical equipment, and all building services/equipment. Ensure resident room readiness prior to move‑ins and provide minor renovations as needed. Conduct daily inspections of the building, grounds, and equipment to determine necessary maintenance and repairs. Manage department supply purchases in coordination with the Executive Director. Maintain the Emergency Preparedness Plan, train associates on the EPP, and conduct and oversee emergency drills. Conduct safety tours for new associates and assist with evacuating residents in emergencies. Maintain on‑call status for emergencies, answer emergency calls after hours and on weekends, and react to and assist in emergency repairs. Occasionally provide weekend coverage as Manager on Duty. Coordinate and assist with all Cap Ex related work and outside vendors. Participate in and attend all in‑service training as scheduled. Provide support to sister/local Monarch communities as needed. Perform other duties as assigned by supervisors. Qualifications Minimum of two (2) years of experience in maintenance or a related field. Valid driver’s license with an acceptable driving record. Strong knowledge of maintenance and housekeeping practices, procedures, and applicable laws and regulations. Knowledge of building systems, including HVAC, electrical, plumbing, and fire safety systems. Hands‑on experience with general maintenance, carpentry, and repair work. Ability to safely operate power and handheld tools and maintenance equipment. Proficiency in Microsoft Office and facility management software systems. Ability to perform physical work as required by the role. Physical Abilities Require standing, walking, sitting, using fine and gross motor skills, reaching with hands and arms, balancing, stooping, kneeling, crouching, talking, hearing, and smelling. Must lift or carry weight up to 50 lbs. Intermittent physical activity includes lifting and supporting residents and using proper body mechanics. Work may be subject to frequent interruptions and emotionally upset residents, family members, personnel, and visitors. Must be able to cope with mental and emotional stress of the position.
