Job Description Summary In compliance with FERPA guidelines, this position provides support to students in matters related to transcripts, registration, and enrollment services. Responsibilities include processing course schedules, transcript requests, and enrollment verifications, as well as serving as a VA Certifying Official. The role also provides general student support and assists with special projects as assigned by the Registrar or Assistant Registrar. This position serves as the primary point of contact for the Registrar’s Office, supporting the front service window, main phone line, and office email accounts. The role also assists with calendar management and administrative coordination. The position requires strong organizational skills, attention to detail, strict confidentiality, and the ability to manage multiple priorities in a fast-paced environment. Specific Duties REGISTRATION Provide support to students, staff, and faculty in the usage of MyLaVerne, including navigation and log-in procedures, and process manual registrations, grade option changes, independent study forms, registration overrides, and other registration changes per University policies. Troubleshoot common registration errors and messages; articulate University policies related to registration and overrides. Process leave of absence and withdrawal forms. Provide outstanding customer service at the front counter, main Registrar phone line, and main Registrar email account. TRANSCRIPTS & VERIFICATIONS Receive, process, package, and mail official transcripts requested through National Student Clearinghouse, in person or by mail. Assist with troubleshooting transcript orders online and provide guidance on the ordering process; monitor NSC transcript ordering process as needed. Research, evaluate, and respond to requests for enrollment or degree verification in accordance with FERPA and University policies. Assist students with the apostille process where applicable. STUDENT RECORD MAINTENANCE Process third-party access and privacy requests per FERPA and University policy; assist with FERPA records requests under direction of the Registrar. Assist with end-of-term processing, including notifying faculty of deadlines, running grade submissions reports, rolling grades, updating records, and checking academic standing. Ensure data integrity in Banner; verify and update student history, including grade changes and registrations. Coordinate resolution of duplicate records and maintain archival documentation. OTHER DUTIES Manage budgeting and invoicing for the Office of the Registrar. Assist with calendar management, scheduling, and Banner-based class scheduling; support onboarding of student workers. Support testing of technologies used in the Registrar’s Office (e.g., Banner, BDM, Courseleaf). Assist with recruitment, training, and supervision of student workers. Provide backup support for undergraduate appeals and participate in related processes as needed. Support Commencement activities and contribute to diversity, inclusivity, and equity efforts. Contribute to other projects as assigned by Registrar leadership.
