The Associated Students of CSU, Chico is recruiting for Government Affairs Coordinator . This is a non-exempt, full-time, full-year (2080 hours) position. The pay range is $23.00 - 27.00/hr; placement in range is dependent upon experience with new hires typically starting at the beginning of the posted range. The anticipated schedule for this position is Monday through Friday, 8:00am to 5:00pm with the possibility of minimal nights and weekends. This schedule is subject to change based on operational needs. This posting will close at noon on July 15 and a candidate is anticipated to start date on August 10.

Associated Students offers excellent benefits to include medical, dental and vision insurance with a generous employer contribution toward the cost. Basic life, AD&D, and long term disability are fully employer paid. Retirement is offered through CalPERS. An employee contribution to this defined benefit plan is required in addition to a significant employer contribution.

The Associated Students (AS) is a campus auxiliary organization serving thousands of students, faculty, staff, and community members. With an annual operating budget exceeding $21 million, the AS manages residential and retail dining services, the Bell Memorial Union, the Wildcat Recreation Center (WREC), and the Wildcat Store contract. The AS also provides a wide range of student-focused programs and services, including CAVE (Community Action Volunteers in Education), the Child Development Lab, Adventure Outings, Sustainability initiatives, and student government. The organization employs more than 125 career staff and over 450 student employees annually.


A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with Associated Students. GOVERNMENT AFFAIRS COORDINATOR

SUMMARY

The Coordinator for Government Affairs serves as the primary administrative support role for the Associated Students (AS) Government Affairs program. This position plays a critical role in ensuring the effective operation of student governance by supporting elected student representatives and facilitating the work of councils and committees.

The incumbent ensures compliance with applicable duties, codes, policies, and laws while providing guidance, coordination, and administrative support to the Government Affairs program, AS, and the broader campus community.
ESSENTIAL FUNCTIONS

Program Support and Coordination
  • Provide comprehensive advisory and administrative support to the Government Affairs program.
  • Serve as a central resource to student leaders, staff, and campus partners on operational and procedural matters.
Governance Operations and Committee Support
  • Oversee and implement operational processes for Government Affairs councils and committees including:
o Coordinate logistics including room scheduling, technical support, and meeting preparation.


o Ensure timely preparation, posting, and distribution of agendas and supporting materials in compliance with applicable policies and legal requirements.


o Record, prepare, and maintain accurate meeting minutes and official documentation in accordance with AS records retention policies.


Appointment and Membership Management
  • Monitor and administer the recruitment and appointment process for councils and committees, including posting opportunities, managing applications, and verifying eligibility.
  • Guide committee chairs and participants through appointment procedures in accordance with the AS Appointment Policy.
  • Maintain accurate and up-to-date membership records, including tracking representation changes.
Student Leader Support and Administration
  • Provide direct advisement and mentorship to up to 7 elected student representatives.
  • Coordinate onboarding and offboarding processes for elected student representatives, including setup and return of university resources (e.g., email accounts, credit cards, equipment, and materials).
  • Support and document elected student representative participation on stateside councils and committees, as requested.
  • Provide guidance and administrative support related to student governance responsibilities and processes.
Scheduling, Communication, and Stakeholder Coordination
  • Coordinate meeting schedules and logistics in collaboration with Event Services and campus partners.
  • Coordinate calendars and send meeting invitations to students, Associated Students, and stateside participants.
  • Maintain consistent and professional communication with internal and external stakeholders.
Budget and Financial Administration
  • Provide support and guidance to elected student representatives regarding budget allocations and financial processes.
  • Deliver budget-related training and assist with financial transactions in collaboration with internal and external partners.
  • Process program-related expenses through Concur.
Program Collaboration and Development
  • Partner with the Student Involvement Supervisor to support the coordination and centralization of student leader events and mentorship opportunities.
  • Contribute to the continuous improvement of Government Affairs operations, processes, and student engagement initiatives.
Position Designations and Compliance Requirements
  • Mandated Reporter: This position is designated as a General Mandated Reporter under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 (revised July 21, 2017), as a condition of employment. Training is required and will be provided.
  • Campus Security Authority: This position is designated as a Campus Security Authority (CSA) under the Jeanne Clery Campus Safety Act and is required to comply with the requirements of this designation. Training is required and will be provided.
  • Other duties may be assigned.

Travel Requirements:

Occasional travel to retreats, conferences and trainings typically within California.
Skills and qualifications REQUIREMENTS
  • Handle confidential sensitive information and situations using professionalism in effectively dealing with a broad range of interpersonal contacts, including those at a higher level.
  • Support student leaders in their efforts to advocate for student interests, voice concerns, and effect positive change within the campus and local community.
  • Develop and maintain positive relationships with internal and external campus partners.

  • Promote collaboration and communication between Student Government and other campus organizations, departments, and external partners to enhance the impact and reach of student-led initiatives.
  • Stay informed about emerging trends, best practices, and legal requirements related to student government programs in higher education, incorporating new ideas and strategies into program development and management.
  • Foster an atmosphere of mentoring, student learning, and personal and professional development.
  • Intermediate knowledge of MS Outlook
  • General knowledge of Robert's Rules of Order and the Gloria Romero Act.
  • Best practices for minute taking of a corporate board.
MINIMUM EDUCATION and EXPERIENCE REQUIREMENTS
  • Bachelor's degree.
  • Two (2) years full-time or part-time equivalent experience in administrative support with a preference of student affairs, student union or student activities experience.
  • One (1) year of experience may be substituted with a Master's degree in related field.
PREFERRED REQUIREMENTS
  • Master's degree.
  • One (1) year in a lead or supervisory position.
  • Applicable experience and general knowledge of Robert's Rules of Order and the Gloria Romero Act.
  • General knowledge of best practices for minute taking of a corporate board.
SPECIAL REQUIREMENTS
