Websites, Projects & Marketing Retainers Evolve Systems is adding a Sr Project Manager! This person will work closely with the Leadership team members and clients to collaborate on client accounts. You’ll play a vital role in ensuring a great client experience during account lifecycles with the agency. Responsibilities: Excellent at drafting clear and organized agendas, being an active listener and participant in client meetings, and capturing detailed notes Scheduling and maintaining accurate project tasks, production schedules & timelines Leading internal team and client-facing meetings & check-ins for your accounts Maintaining and enforcing high standards of communication, including statuses, budget tracking, timelines, scopes, and change orders (both internally & externally) Confident in reporting progress and/or issues on accounts to the Leadership team Defining Project Boundaries: You are responsible for clearly documenting project deliverables, timelines, and constraints in Statements of Work (SOWs) to prevent scope creep. Change Management: When client requests deviate from the original agreement, you act as the gatekeeper by identifying out-of-scope tasks, communicating the impact to the client, and formalizing change orders when necessary to protect agency time and resources. Alignment: Ensure that the scope is understood by both the internal delivery team and the client, fostering transparency and managing expectations from project kickoff to completion. Being confident to call a Yellow or Red light and resolve the issues. Financial Tracking: Proactively monitor the burn rate of accounts to ensure project hours stay within the allocated budget. Early Intervention: Regularly review budget health to identify trends or potential overages early, allowing you to course-correct or elevate issues to other team leads. Profitability Focus: Apply business acumen to prioritize tasks that drive value while maintaining account profitability, ensuring that every hour billed aligns with client objectives and agency standards. Resource Allocation: Partner with internal teams to balance the workload across concurrent accounts. This involves understanding the bandwidth of individual team members and vendors to prevent burnout and ensure consistent output quality. Forecasting: Use your experience to anticipate future capacity needs based on project pipelines. By identifying resource bottlenecks in advance, you can proactively adjust timelines or seek support to maintain productivity. Performance Synchronization: Ensure team members have clear visibility into their assigned tasks and deadlines, fostering a collaborative environment where everyone is aligned on the goals and priorities for each account. QA all program deliverables against our Evolve standards & client expectations as the account owner Creating small-scale client proposals and quotes (as applicable) Leading & building AARs (After Action Reviews) Assess & evaluate program success, improvement areas, opportunities Assisting/identifying process efficiencies & documenting any SOP changes Leading and nurturing client communications through every client interaction Being the link between the client and internal teams to ensure a smooth process and high client retention/satisfaction Completing quarterly rocks as assigned (we are an EOS organization) Requirements: BA/BS or equivalent working experience Solid communication skills, both verbal and written Including the ability to communicate directly with business owners 6-8 years of experience in agency project management B2B WordPress website builds - preferred B2B Creative projects B2B Digital marketing Small to mid-size Marketing monthly budgets (5-10k) Mid-level knowledge around B2B marketing is a plus Experience working with industrial or professional service industries is a plus Experience working with and managing both internal team members and vendors Familiarity with WordPress CMS, common CRMs, and other tools like MailChimp or Buffer Experience with PM tools like Wrike is a plus Experience with scoping and budgeting for smaller-scale SOWs Understanding of an agency as a business and the ability to run accounts profitably Must thrive under tight deadlines and be able to manage multiple concurrent accounts Experience with capacity planning and forecasting - preferred Working comfortably as an individual or in a team environment Open to learning & implementing AI within processes for operational efficiencies Technically capable, detailed, and has a strong desire to improve processes Demonstrate a strong ability to creatively solve problems with a positive and professional demeanor Communication: Keep the team up to date with account statuses alongside the other PMs Clear communication and alignment with other PMs to ensure a smooth internal & external experience Actively engage in client meetings as the client advocate and with an opportunity mindset Professional and clear communication across internal and external touchpoints Proactively resolve potential account issues by communicating clearly and in a timely manner with the client and internal team Evolve Systems Core Values: Strategic Leadership Passion Purpose Respect Competitive Pay IRA Contributions Dental and Health Insurance Paid Vacation & Holidays Fun, flexible hybrid office environment and opportunity to work with great team members and clients 1 day in office/week required | Tues-Thurs options #J-18808-Ljbffr
