ILS Relocation, a veteran-owned relocation company, is seeking an experienced Dispatcher | Moving Operations & Crew Coordination professional to help manage the daily movement of crews, vehicles, and moving assignments.

This is a hands-on operational role in a high-volume, time-sensitive environment. The Dispatcher serves as the central point of coordination between the office and field, ensuring crews are properly assigned, jobs remain on schedule, and issues are addressed quickly and professionally.

We're looking for someone who is organized, dependable, comfortable making decisions, and able to maintain high standards while managing multiple moving assignments throughout the day.

Position Summary

The Dispatcher is responsible for scheduling, dispatching, and tracking approximately 15 vehicles and 35–50 personnel each day . This position works closely with crew leaders, drivers, customers, and management to coordinate daily moving operations from assignment through completion.

The Dispatcher ensures crews have the appropriate information, labor, materials, and equipment needed for each assignment and maintains communication throughout the day regarding job status, scheduling changes, customer concerns, and operational issues.

Success in this role requires the ability to anticipate problems, adjust schedules when conditions change, and keep accurate information flowing between the field and office.

Essential Duties & Responsibilities

Dispatch & Crew Coordination

• Schedule and dispatch moving crews and vehicles based on daily assignments and operational requirements
• Coordinate labor, materials, equipment, and other resources needed for each moving assignment
• Provide crew leaders with accurate job information, schedules, and operational instructions
• Monitor crew and vehicle status throughout the day
• Track job progress, arrival times, completion status, and outstanding assignments
• Adjust assignments and schedules as conditions change throughout the day

Moving Operations

• Maintain regular communication with crew leaders regarding job progress and operational needs
• Identify scheduling conflicts, delays, and other issues requiring attention
• Coordinate solutions with crew leaders, customers, and management
• Confirm assignments are completed according to established procedures and scheduled timeframes
• Maintain awareness of daily staffing, vehicle availability, and operational priorities
• Help ensure crews have the resources necessary to complete each move successfully

Customer & Office Coordination

• Communicate professionally with customers regarding scheduling, job status, charges, and operational concerns
• Address customer issues and escalate matters when appropriate
• Calculate move charges and process payments
• Maintain authorization and payment documentation
• Keep accurate records of completed and outstanding charges
• Maintain and update job, personnel, and vehicle information in company systems

Standards & Accountability

• Reinforce company policies and operating standards with field personnel
• Monitor attendance, uniform compliance, and professional conduct
• Provide guidance to crew personnel when operational or performance issues arise
• Communicate recurring issues to management
• Support a professional, accountable, and customer-focused work environment

Vehicle & Records

• Conduct or coordinate daily inspections of returning vehicles
• Check vehicles for cleanliness, security, and reported maintenance concerns
• Maintain accurate dispatch records and operational documentation
• Ensure job and personnel information remains current and organized

What We're Looking For

• Previous experience in dispatching, scheduling, or moving operations
• Household goods (HHG) or relocation industry experience required
• Strong organizational and time-management skills
• Ability to coordinate multiple crews and assignments simultaneously
• Strong verbal and written communication skills in English
• Professional and confident phone communication
• Strong problem-solving and decision-making abilities
• Ability to remain calm and organized when schedules change or unexpected issues arise
• Proficiency with Microsoft Office and/or CRM, dispatch, or scheduling systems
• Valid driver's license
• Reliable transportation to the Louisville facility
• Ability to lift a minimum of 50 lbs. without assistance
• Strong work ethic, reliability, and attention to detail
• Military experience is considered an asset
