The Opportunity
We’re looking for a Business Process Coordinator to help us build and maintain the operational backbone that keeps our business running well. This role sits on the Strategic Operations team and reports directly to the Director of Strategic Operations — putting you at the center of how we run the company.
This is not a passive administrative role. You’ll own real work: writing SOPs, tracking cross-functional action items, keeping our operating cadence on track, and making sure important things don’t fall through the cracks. If you’re organized, curious, and take genuine satisfaction in bringing order to complexity, this role is built for you.
What You’ll Do
Process Documentation & Improvement
- Draft, maintain, and organize standard operating procedures across operational, commercial, and administrative functions.
- Identify gaps in existing workflows and bring forward findings with recommended solutions.
- Support the rollout of new processes, including drafting checklists, and communication materials.
Operating Cadence Support
- Help prepare and coordinate weekly huddles, monthly reviews, and other recurring leadership meetings.
- Track action items, owners, and due dates — follow up to ensure completion and escalate anything that’s slipping.
- Maintain meeting notes, decision logs, and status trackers to support organizational follow-through.
Cross-Functional Coordination
- Serve as a coordination point for cross-functional initiatives — making sure handoffs are clear and timelines are met.
- Support onboarding of new workflows by coordinating logistics, gathering feedback, and tracking adoption.
- Assist the Director of Strategic Operations with special projects, research, and summary reporting.
Reporting & Data Support
- Compile and organize operational data to support KPI tracking, performance reporting, and dashboard updates.
- Maintain scorecards and trackers, ensuring data reflects current field and business activity.
- Identify data quality issues and work with the relevant teams to investigate and resolve them.
What We’re Looking For
- 2+ years in an operations, administrative, project coordination, or process support role.
- Strong written communication skills — you write clearly and can turn a conversation into a clean, usable document.
- Highly organized with sharp attention to detail; you track multiple priorities simultaneously without losing the thread.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook); experience with project management tools a plus.
- Comfortable in a fast-moving, operationally intensive environment; prior experience in transportation, logistics, or field services is a plus.
- Self-starter who asks questions, spots problems early, and follows through without being asked twice.
- Associate’s or Bachelor’s degree in Business Administration, Operations Management, or related field preferred; equivalent experience considered.
