Responsibilities The Purchasing Coordinator is responsible for facilitating inventory management activities including purchasing and maintaining inventory for multiple locations under the direct supervision of the Purchasing Manager. Reviews forecasts, places orders, provides support to sales and branch staff and is a source for information to others within the Company-Owned Store (COS) group. The employee provides prompt, friendly and professional service to Johnstone locations and vendors. Essential Job Functions. Reviews orders/procurement requests made by branch staff and issues purchase orders (PO) for fulfillment. Reviews forecasts to order inventory to align with current demand and trends. Transfers inventory between locations based on overstocks and inventory efficiency. Monitors special requisitions to procure product for customer special orders and back orders in a timely manner. Provides support and internal customer service to sales and branch personnel, being a resource for information such as availability and lead time. Assists as needed in procuring product to meet customer needs. Provides recommendations as to the best procurement based on the situation. Interacts with suppliers to obtain product information, cost, lead time and to follow up on outstanding orders or PO variances. Identifies overstocks and dead inventory and determine best action to address concern. Follows up on overdue vendor Purchase Orders and store transfers. Partners with the marketing department to ensure proper inventory to support current and future marketing initiatives and programs. Provides reports, correspondence, and other communications as needed. Education and/or Experience: High School Diploma or equivalent (i.e. G.E.D.); minimum of 2+ years of related procurement or purchasing experience or equivalent combination of education and experience. Required: High School Diploma or equivalent Minimum of 2+ years of related purchasing or procurement experience Preferred: 3-5 years of relevant purchasing experience preferred Experience with ERP competence with DDI and inventory systems software preferred Certificates, Licenses, and Registrations: There are no certificates, licenses, or registrations required for this role. Job Knowledge, Skills, and Abilities: Proficient in Microsoft 365 products including Excel, Outlook, Word, and PowerPoint with ability to quickly learn and apply other job-related technologies. Ability to use purchasing software accurately and efficiently. Demonstrated ability to multitask, manage and prioritize multiple projects while working under pressure. Displays a sense of urgency when needed. Excellent communication and interpersonal skills required with ability to work well with others. Ability to successfully and professionally communicate in multiple formats and deliver information to a varied audience. Strong math and analytical skills. Must be able to identify and react to trends. Problem-solving skills; listening to, interpreting and meeting needs of others; diagnosing and rectifying problems. Knowledge of HVAC/R wholesale industry beneficial or ability to quickly learn HVAC/R products. While multilingual skills are valued, English proficiency (written and spoken) is a core requirement for this position due to the nature of the work, safety regulations, and to ensure accurate communication and comprehension. Position is typically onsite in the assigned branch location. Normal work hours are 7:30am – 5:00pm but may vary based on operational needs. Remote/Hybrid options may be available.
