Position Summary

We are seeking a detail-oriented and customer-focused Closing Coordinator to manage residential and commercial real estate transactions from contract through post-closing. This position plays a critical role in ensuring files are accurate, compliant, and completed on schedule while delivering exceptional service to buyers, sellers, lenders, agents, and other transaction partners.

Key Responsibilities

• Oversee residential and commercial real estate closing files from initial preparation through final funding and post-closing activities.
• Coordinate all aspects of the closing process to ensure transactions progress efficiently and deadlines are met.
• Review files for completeness and accuracy, obtaining any missing documentation needed to facilitate a successful closing.
• Communicate regularly with lenders, real estate agents, buyers, sellers, and attorneys to keep all parties informed throughout the transaction.
• Prepare settlement documentation, closing disclosures, seller documentation, and other closing-related paperwork as required.
• Conduct or assist with closings, ensuring all required documents are properly executed.
• Submit documents for recording and manage incoming recorded documents to ensure files are finalized correctly.
• Research and resolve title defects, escrow discrepancies, underwriting concerns, and other issues that could delay closing.
• Maintain accurate escrow balances and verify all financial transactions prior to disbursement.
• Prepare and distribute funds according to settlement instructions while ensuring compliance with applicable regulations.
• Monitor transaction timelines, proactively identifying potential obstacles and working with stakeholders to resolve issues before they impact closing dates.
• Maintain organized electronic and physical files in accordance with company policies and industry standards.
• Support additional operational or administrative duties as assigned.

Qualifications

• Minimum of two years of experience in the title, escrow, or real estate closing industry.
• Working knowledge of residential and commercial real estate closing procedures.
• Experience preparing settlement statements, closing disclosures, escrow documents, and related closing documentation.
• Familiarity with title examination, resolving title issues, and coordinating document recording is preferred.
• Proficiency with title and escrow software such as SoftPro, Pro-Trust, or similar transaction management systems.
• Comfortable using Microsoft Office applications, including Outlook, Word, Excel, and Adobe Acrobat.
• Experience researching public records through county or probate court systems is a plus.
• Excellent organizational skills with the ability to manage multiple transactions simultaneously while meeting strict deadlines.
• Strong analytical and problem-solving abilities with exceptional attention to detail.
• Professional communication and customer service skills, both written and verbal.
• Ability to work independently while collaborating effectively with internal staff and external partners.
• Flexibility to accommodate occasional extended hours or late-day closings when business needs require.
