Administrative duties include but are not limited to answering phones and directing callers; assisting in-person visitors; scheduling and confirming all OP appointments, coordinating transportation for group members, assisting with group set-up, handling mail and correspondence. Duties and Responsibilities Following internal procedures and external regulations. Bringing compliance issues to the attention of management. Successfully completing regulatory training requirements periodically. Working collaboratively in all facets of position to meet position requirements and support hospital goals. Maintaining confidentiality of information. Cultivating a positive work environment. Being efficient with time at work. Communicating effectively with patients and visitors as well as management and staff. Being flexible. Maintaining integrity in all conversations and actions. Consistently reporting to work on time prepared to perform duties of position. Professionally greeting all visitors/callers to DSH. Either assisting individuals directly or directing them to the appropriate person/division/department. Assessing and screening calls from the public to determine which service best fits their issue or need. Sorting and distributing incoming mail as well as preparing outgoing mail and other correspondence. Providing administrative support for DSH including telephone coverage, copier projects, mail handling, filing, supplies control and necessary internal and external communications. Preparing daily paperwork and/or administrative assignments, as needed, according to procedures. May be asked to prepare general correspondence, memos, charts, spreadsheets, reports, etc. Scheduling and keeping track of patient groups and individual sessions along with meetings and other reservations for conference rooms. Assisting with group set-up and take down as needed. Education and/or Experience Requires a High School Diploma or General Education Degree (GED). Two to three years’ experience in a front office / administrative position required. Experience in a hospital or behavioral health setting preferred. Computer Skills Microsoft Windows environment with Office Suite to include formatting and production of word processing documents, spreadsheets, and reports. Ability to use tools for video conferencing, as needed. Certificates, Licenses, Registrations Level one fingerprint clearance card in the State of Arizona or provide proof of application by hire date. CPR certification within 30 days of employment. CPI certification within 30 days of employment. Knowledge, Skills, and Abilities Customer-service driven with demonstrated poise, tact, and diplomacy along with the ability to handle sensitive and confidential situations. Professional and personable demeanor. Ability to read and comprehend instructions, correspondence, and memos. Good spelling and grammar skills. Ability to work with numbers and mathematical concepts (adding, subtracting, etc.) on a regular basis. Excellent follow-through skills. Strong attention to detail and well organized. Excellent telephone etiquette and verbal communications. Ability to handle and prioritize multiple, competing tasks and demands and to seek supervisory assistance as appropriate. Self-starter able to work independently. Ability to file alphabetically and operate general office equipment such as facsimile, and photocopy machine. Ability to remain in one place for a long period of time. Ability to react calmly and effectively in emergency situations. Work Environment This job operates in an outpatient hospital reception setting. The role routinely requires interaction with patients, visitors, documentation, and utilization of standard office equipment. Regular attendance is required. Overtime including weekends may, at times, be required to fulfill duties of position. The employee must be able to work in a fast-paced environment with the ability to handle and prioritize multiple, competing tasks and demands and to seek supervisory assistance as appropriate. Physical Demands The employee is regularly required to talk and hear. The employee regularly is required to stand, walk, sit, use hand to finger, handle or feel objects, tools, or controls; and reach with hands and arms. The employee frequently lifts and/or moves up to 10 pounds. Specific vision abilities required by this job include close vision, ability to adjust focus, and manual dexterity in combination with eye/hand coordination. The work environment is subject to interruptions, varying and unpredictable situations and time pressures related to multiple tasks. It also requires regular use of a computer keyboard and monitor.
