SUMMARY:


Individual is responsible for the timely dispatch of property shuttle service. Individual is responsible for administrative tasks including, but not limited to, accounts payable, vehicle maintenance scheduling and follow up and training dispatch staff.

EDUCATION and/or EXPERIENCE:

High School Diploma or GED and a minimum of 2 years related experience; or an equivalent combination of education and experience.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

• This position involves driving a company vehicle and/or company insured vehicle. A valid driver's license is required, along with successful completion of a pre-employment Motor Vehicle Report (MVR) and annual MVRs, according to company guidelines. Follow safe, defensive driving practices at all times, obey all traffic laws, regulations, signals and markings, use a seat belt, and follow Company policies and procedures, including the Substance Abuse Policy. Never drive while under the influence of drugs, alcohol or medications that may impair your ability to operate a vehicle safely, report any accidents immediately and cooperate fully with insurance claims investigations.
• Scheduling vehicle maintenance. Keep office team informed/updated regarding vehicle inventory status.
• Schedule weekly vehicle cleanings - Check invoice for accuracy.
• Prepare monthly vehicle usage reports. Report must be completed as soon as the period end financials are complete.
• Monitor usage of the Triangle Expressway to ensure charges are correct and drivers are utilizing proper route.
• Prepare vehicle damage reports and send to DOT
• Maintain a spreadsheet containing all vehicle fleet information, i.e. VIN's, year/make/model, license plate number, etc.

• Meet with the Service Center a minimum of bi-weekly to review vehicle inventory status and keep vehicle service repair spreadsheet current.
• Monthly vehicle photos taken (interior/exterior) and uploaded to computer.
• Schedule monthly DMV trips for registration renewals
• Keep all vehicle inspections, registrations and insurance information up to date.
• Keep coordinators and supervisors informed as to which vehicles should be scheduled based on balancing mileages with age of vehicles.
• Answer telephone within 3 rings.
• Dispatch "on property" shuttle calls immediately upon receipt following standard operating procedures.
• Ensure Drivers respond promptly with guest pick-ups within 15 minutes of call.
• Be aware of whereabouts of shuttle staff at all times by monitoring GEOTAB
• Properly log every shuttle call using established codes. Include pertinent information in comment line.
• Maintain professional communication over 2-way radios at all times.
• Study the daily Transportation schedule and assist the Coordinator or Supervisor with distribution of airport trip tickets, monitoring driver arrival times and vehicle assignments as needed.
• Check arriving flight numbers to ensure accuracy and immediately report discrepancies to the coordinator or supervisor on duty.
• Assist office staff by monitoring flight arrivals throughout the day. Notify coordinator or supervisor of any delays. Continue to monitor delayed flights as needed.
• Coordinate and monitor SOP Airport transfers.
• Process accounts payable.
• Email airport confirmations.
• Log Transportation Department summaries derived from NPS in the Operations drive.
• Must possess a good sense of direction with the ability to redirect traffic as needed.
• Attend Operations meetings as assigned.
• Assist Director with additional administrative tasks as assigned.
