In this key role, you will help keep our office running efficiently by maintaining accurate inventory records, coordinating procurement and property transfers, and ensuring compliance with state regulations. Three years of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. Provide administrative support to the Probation and Parole District Manager by answering calls, directing inquiries, preparing correspondence, and compiling information from various sources. Perform routine clerical tasks including copying, filing, scanning, data entry, mail distribution, and operation of standard office equipment. Assist with onboarding and separations, maintain personnel files, support employees with Performance Planning documents, and help with payroll functions such as reviewing CATS entries, certifying timesheets, and preparing prior-period adjustments. Coordinate with outside vendors for onsite visits and assist with the initial documentation for Workers’ Compensation and Family Medical Leave Act (FMLA) cases. Prepare and enter purchase orders, track expenses, and support inventory control processes. Coordinate vehicle repairs and maintenance for state automobiles by working with shops and dealerships. Assist with special projects assigned by the Regional Manager or administration, including interviewing youth and families when needed. Attend required agency training and perform other related duties to support office operations.
