Office Assistant - Part-Time

PURPOSE The Office Assistant serves as a central support function within the function of the operation, bridging administrative, financial, and customer service responsibilities. This role works across multiple departments, partnering closely with internal teams as well as external customers and vendors. This is a part-time position, working 20 hours per week with a typical schedule of Monday through Thursday from 9:00 AM to 2:30 PM or 10:00 AM to 3:30 PM.MAJOR RESPONSIBILITIES
- Manage incoming and outgoing correspondence via phone, email, and mail; respond to inquiries in a professional and timely manner
- Sort and distribute incoming mail and packages; scan and file documents electronically as needed
- Perform data entry and maintain accurate electronic records
- Create and process purchase orders and receiving documentation
- Process and record accounts payable and accounts receivable transactions
- Prepare and process check runs
- Maintain and update customer account information
- Monitor shared email inboxes and route messages appropriately
- Provide administrative and follow-up support to the Outside Sales Team
- Perform other duties as assigned
- Experience with ERP systems (knowledge of JobBoss ERP preferred)
- Basic understanding of bookkeeping and accounting principles
- Proficiency in Microsoft Office and Google Workspace
- Strong attention to detail and accuracy, with the ability to manage multiple tasks and meet deadlines
- Excellent organizational, communication, and customer service skills
- Ability to work both independently and collaboratively in a team environment
POSITION TYPE / EXPECTED WORK HOURS This is a part-time position, working 20 hours per week with a typical schedule of Monday through Thursday from 9:00 AM to 2:30 PM or 10:00 AM to 3:30 PM. Hours may vary based on business needs, and occasional extended hours may be required. WORK AUTHORIZATION The candidate must be authorized to work in the United States.
