THE OPPORTUNITY

The Patient Support Associate is often the first person a patient or guest interacts with when arriving at the health center or calling before a visit. In this Registration role, you will help optimize each patient visit through knowledgeable, reliable, professional and courteous service.

You will ensure that patient demographic, insurance, and billing information is accurate; schedule appointments; answer incoming calls; greet patients and guests; and collect copayments. Your work supports timely access to care and a positive patient experience.

WHAT YOU'LL DO

Patient Registration & Front Desk Support

• Greet patients, family members, and visitors in a friendly, professional, and attentive manner
• Register patients in Epic and accurately update demographic, insurance, billing, and contact information
• Verify patient identity using three patient identifiers and maintain compliance with HIPAA and confidentiality requirements
• Assist patients with registration questions and provide clear guidance on office procedures and next steps
• Maintain a welcoming, organized, and efficient front desk environment

Scheduling & Patient Communication

• Schedule, reschedule, and cancel appointments in accordance with organizational policies and clinic guidelines
• Answer incoming phone calls, respond to routine inquiries, route messages, and connect patients with the appropriate departments or care team members
• Make appointment reminder calls and assist with outreach efforts as needed
• Communicate professionally and effectively with patients, coworkers, providers, and leadership through both verbal and written interactions

Financial & Administrative Responsibilities

• Collect patient payments, copayments, and other applicable fees during the registration process
• Complete daily payment balancing and reconciliation according to established procedures
• Maintain accurate records and documentation to support efficient clinic operations and patient care delivery

Team Collaboration & Operational Support

• Partner closely with providers, medical assistants, nurses, and other care team members to support a positive and efficient patient experience
• Contribute to clinic workflow by helping address patient needs, resolving routine issues, and supporting department operations
• Support additional projects, initiatives, and responsibilities as assigned to meet the needs of the organization

You won't be doing this alone. You'll be part of a collaborative care team dedicated to providing excellent service and ensuring every patient receives a positive experience from check-in through check-out.

WORK STYLE AND STATUS

This is a full-time, non-exempt, on-site position. The Registration PSA works in a busy community health center environment with frequent interaction with patients, families, visitors, clinical teams, and administrative staff.

The schedule may include daytime and evening hours and rotating Saturday coverage based on department needs. Team members must be able to work at assigned SBCHC locations and rotate among registration and phone responsibilities. Reliable and punctual attendance is essential. Physical requirements are classified as minimum, and the OSHA job classification is III.

Requirements

• High school diploma or equivalent
• Strong customer service and interpersonal communication skills, with the ability to create a welcoming experience for patients and families
• Ability to provide knowledgeable, reliable, and courteous service in a busy healthcare environment
• Experience or demonstrated ability to accurately enter, verify, and maintain patient demographic, insurance, and billing information in an electronic medical record
• Strong attention to detail and organizational skills, with the ability to manage multiple priorities while maintaining accuracy
• Commitment to protecting confidential information and consistently adhering to HIPAA and privacy requirements
• Ability to work collaboratively with patients, providers, and multidisciplinary care teams
• Commitment to equity, inclusion, and providing respectful service to patients, families, coworkers, and community members from diverse backgrounds

Preferred Qualifications

• Associate's or Bachelor's degree
• Prior customer service, registration, scheduling, or administrative experience in a healthcare setting
• Experience working with Epic or another electronic medical record (EMR) system
• Bilingual or multilingual language skills that reflect and support the diverse communities served by SBCHC
• Experience handling patient insurance verification, appointment scheduling, or front desk operations
• Familiarity with community health centers, ambulatory care, or other patient-facing healthcare environments
