Scheduling Coordinator Supervisor

Pacific Pain & Regenerative Medicine is seeking an experienced, service-focused Scheduling Coordinator Supervisor to lead and support our scheduling team. This role is responsible for overseeing daily scheduling operations, developing team members, maintaining high service standards, and ensuring every patient interaction reflects our commitment to professionalism, compassion, and excellence.

Key Responsibilities

Team Leadership & Development

• Supervise and support Scheduling Coordinators across multiple locations
• Lead onboarding and training for new scheduling team members
• Provide ongoing coaching, mentorship, and performance feedback
• Foster a positive, accountable, and team-oriented work environment
• Conduct regular team meetings and one-on-one check-ins
• Assist with hiring, performance evaluations, and employee development

Scheduling Operations

• Oversee daily scheduling activities and workflow management
• Ensure provider schedules are optimized and efficiently managed
• Monitor appointment availability, scheduling accuracy, and patient access
• Assist with complex scheduling situations and escalated concerns
• Collaborate with leadership to improve scheduling processes and workflows
• Ensure adherence to company policies, procedures, and service standards

Patient Experience & Quality Assurance

• Promote a culture of exceptional service and professionalism
• Monitor the quality of patient interactions and communication
• Coach team members on phone etiquette, empathy, active listening, and problem-solving
• Address patient concerns professionally and effectively
• Ensure patients, attorneys, and referral sources receive timely and courteous communication
• Identify opportunities to improve the overall patient experience

Performance & Reporting

• Track and monitor scheduling department performance metrics
• Analyze trends related to scheduling, confirmations, cancellations, and no-shows
• Develop action plans to improve efficiency and patient satisfaction
• Provide regular reporting and updates to leadership
• Maintain accountability for departmental goals and expectations

Qualifications

• Minimum 2 years of medical scheduling experience preferred
• Previous supervisory, lead, or management experience preferred
• Personal Injury (PI) experience strongly preferred
• Strong understanding of scheduling workflows and patient coordination
• Excellent communication, leadership, and organizational skills
• Experience working with electronic medical records (EMR) systems
• Bilingual Spanish is a plus
