Executive Support Specialist

The General Administrative Support Specialist Will support NAMRU-D front office operations for the Commanding Officer, Executive Officer, Director for Administration, Deputy Director for Administration, and Director for Resource Management. NAMRU-D conducts research in aerospace medicine and environmental health to enhance warfighter readiness. The position is based onsite at Naval Medical Research Unit Dayton (NAMRU-D), Wright-Patterson Air Force Base, Ohio. Responsibilities Provide daily front office administrative coverage, including greeting and escorting visitors, answering phone calls, accepting command visitors, and supporting daily business management. Prepare command correspondence, forms, reports, file plans, and statistical materials for Government review and approval. Review, route, format, and serialize official command correspondence and manage mail distribution and document filing. Coordinate conference room reservations, command meetings, monthly Command Indoctrination sessions, and check-in/check-out tracking. Review and route official message traffic, including ETMS2 taskers, and help ensure command tasker deadlines are met. Organize the Admin Share Drive, Records Management Folder, and applicable Command SharePoint pages. Support the MEDIG program, Command Indoctrination and Sponsorship Program, command reports, and front office SOP development. Required Qualifications High school diploma. At least two (2) years of administrative experience. Proficient in basic office functions, including answering telephones, taking messages, and welcoming/escorting visitors. Proficient with Microsoft Word, Microsoft Excel, Microsoft Office Suite, and Microsoft Windows programs. Strong interpersonal skills and excellent oral and written communication skills. Ability to maintain professional coverage during normal business hours and manage competing administrative priorities. Must qualify for CAC issuance and IT access and comply with DoD, DoN, NAMRU-D, cybersecurity, and OPSEC requirements.
