Job Summary

We are seeking an organized and customer focused Inside Sales & Contract Administrator to support sales operations, contract administration, customer onboarding, order processing, and billing. This person will serve as a key point of contact between customers, the sales team, and finance, ensuring accurate documentation, timely invoicing, and smooth order processing.

The ideal candidate is comfortable working with ERP systems, managing multiple priorities, and communicating professionally with customers and internal teams.

Key Responsibilities

• Handle inbound customer inquiries by phone, email, and web, record leads, and coordinate follow-ups with the sales team.
• Prepare and update sales quotes, proposals, and contracts, ensuring accuracy of pricing, terms, and documentation.
• Collect and maintain signed contracts, change orders, tax forms, insurance certificates, credit applications, and other required documents.
• Set up new customers and projects in the ERP system, ensuring accurate billing details, contract values, and payment terms.
• Prepare and submit customer invoices, including progress billing, retainage, and change orders.
• Submit invoices through customer billing portals and resolve billing discrepancies or payment issues.
• Monitor overdue invoices, follow up on outstanding payments, and coordinate with the finance team.
• Process customer orders for parts and building products, confirm pricing and availability, and coordinate delivery with operations and shipping teams.
• Answer incoming calls, greet visitors, manage correspondence, and provide general administrative support.
• Maintain accurate records and identify opportunities to improve sales administration and billing processes.

Qualifications

• High school diploma or equivalent required; an associate or bachelor's degree is preferred.
• At least 3 years of experience in inside sales support, customer service, contract administration, billing, order processing, or a similar role.
• Experience with ERP or CRM systems such as Acumatica, NetSuite, Sage, QuickBooks, Epicor, or Microsoft Dynamics is preferred.
• Proficiency in Microsoft Office, especially Excel and Outlook.
• Strong written and verbal communication skills.
• Excellent organizational skills, attention to detail, and the ability to manage multiple tasks and deadlines.
• Ability to work independently and coordinate effectively with sales, finance, operations, and customers.
• Construction billing, AIA billing, lien waivers, or contractor billing portal experience is a plus.
• Experience in construction, manufacturing, or building-products distribution is preferred but not required.

• Annual salary of $50,000–$60,000, depending on experience.
