Job Title: Administrative Coordinator – Laboratory Services / NDT Materials

Location: Jackson, MI

Schedule: Monday – Friday | 7:15 AM – 4:00 PM | Onsite

Job Summary

We are seeking a detail-oriented Administrative Coordinator to support the NDT/Materials Department within Laboratory Services. This role is responsible for managing documentation, supporting quality and compliance activities, coordinating customer and administrative processes, and maintaining organized records in a regulated laboratory environment.

The ideal candidate will have strong administrative experience, excellent organizational and proofreading skills, and the ability to work effectively in a fast-paced technical environment supporting laboratory and quality operations.

Key Responsibilities

• Maintain personnel training, certification, and qualification records in an organized and easily retrievable manner
• Support document control activities for NRC and quality-related documentation
• Prepare, scan, file, track, and maintain records in compliance with quality and retention requirements
• Support internal and external audits by retrieving and providing required documentation
• Create, edit, format, proofread, and distribute formal laboratory reports and technical documents
• Provide customer support for quotes, invoicing, reporting, and issue resolution
• Maintain and track calibrated equipment records, assignments, and due dates
• Utilize software systems including SAP, LIMS, MS Office, Adobe, and other internal systems to support daily operations
• Coordinate with internal teams to support laboratory administrative and operational needs
• Assist with process improvement initiatives to enhance efficiency and eliminate redundant administrative tasks
• Provide phone and administrative support for the department as needed

Required Qualifications

• Previous experience in an administrative support, document control, or coordination role
• Strong proficiency with Microsoft Office Suite, including Word, Excel, and PowerPoint
• Excellent proofreading, organization, and attention-to-detail skills
• Strong customer service and communication skills
• Ability to manage multiple priorities and adapt in a fast-paced environment
• Experience maintaining large volumes of documentation and records
• Ability to work independently with minimal supervision

Preferred Qualifications

• Experience working in laboratory, manufacturing, utility, engineering, QA/QC, or regulated environments
• Familiarity with SAP, LIMS, calibration tracking systems, or quality management systems
• Experience supporting audits, compliance programs, or technical documentation processes
• Knowledge of document retention and quality compliance practices
