Legal Administrative Assistant Real Estate Law
A respected boutique law firm in Midtown Manhattan is seeking an experienced Legal Administrative Assistant to join its busy real estate practice. This is an excellent opportunity for a proactive professional to support a team of attorneys in a well-established environment known for its high-quality work and collegial atmosphere. The position is fully on-site, five days a week.
Key Responsibilities:
- Provide comprehensive administrative support to multiple attorneys
- Prepare, revise, and serve legal documents via various methods, including hand delivery, email, and postal services (e.g., FedEx, certified mail)
- Answer and route incoming calls, manage messages, and ensure timely follow-up
- Maintain attorneys' calendars and help coordinate meetings and deadlines
- Handle large mailings related to real estate legal matters
- Perform advanced document processing, including formatting legal documents, creating Tables of Authorities and Contents, redlining, and editing PDFs
- Follow established office policies and procedures
- Assist with additional administrative duties as needed

Qualifications:
- Minimum of 5 years of legal administrative or secretarial experience, ideally in real estate law
- Familiarity with New York landlord-tenant matters or regulatory filings (e.g., New York State housing agencies) is a plus
- Knowledge of preparing documents like rent demands, cure or termination notices, and court petitions is desirable
- Strong organizational skills and attention to detail
- Excellent written and verbal communication abilities
- Proficiency in document management systems (e.g., iManage) and Microsoft Office Suite
- Ability to multitask, prioritize, and work independently in a fast-paced environment
