Patient Coordinator / Medical Office Assistant Functional Medicine Clinic – Carmel, Indiana Full-Time | In-Clinic Position ABOUT THE POSITION The Functional MDs is a growing physician‑led functional medicine practice in Carmel, Indiana. We are looking for a full‑time Patient Coordinator / Medical Office Assistant to support patient communication, front desk operations, scheduling, administrative workflows, and day‑to‑day practice organization. This is not a traditional medical assistant role. We are looking for someone who is organized, dependable, proactive, professional, and comfortable managing both patient‑facing and administrative responsibilities. This role is ideal for someone who takes ownership, follows instructions, communicates clearly, and genuinely cares about creating an excellent patient experience. KEY RESPONSIBILITIES Greet and check in patients in a warm and professional manner Answer phone calls, messages, emails, and patient inquiries Assist with scheduling and appointment coordination Triage questionnaires, intake forms, and patient communications Route non‑urgent medical questions to the appropriate provider or team member Upload laboratory results, imaging, and documents into the EMR Assist with supplement coordination and lab workflows Support front desk and administrative operations as needed Help maintain organization and efficiency throughout the practice Create a professional, supportive, and high‑quality patient experience YOU ARE A STRONG FIT IF YOU: Are highly organized and detail‑oriented Communicate professionally and compassionately Follow instructions carefully Are dependable and take pride in showing up prepared Stay calm and efficient in a busy environment Learn technology and new systems quickly Work well independently while supporting a team Take initiative instead of waiting to be told what to do Care about doing things correctly and following through QUALIFICATIONS Previous medical office, healthcare, patient coordination, front desk, administrative, or customer service experience preferred Strong communication and organizational skills required Comfortable using technology, EMRs, and online systems Experience with healthcare systems preferred Functional medicine or wellness experience is a plus but not required CMA certification is not required WORK ENVIRONMENT & SCHEDULE Full‑time position In‑person role Monday–Friday, 9:00 AM – 5:00 PM Located in Carmel, Indiana COMPENSATION & BENEFITS Health insurance offered Paid time off Major holidays off Employee access/discounts for eligible practice services 10 days PTO Opportunities for growth within the practice Supportive and growth‑focused work environment #J-18808-Ljbffr FunctionalMD
