BluePearl Pet Hospital is now hiring for a professional, customer-service oriented Sr. Referral Coordinator to join our team!

Tentative Schedule: 5 days a week M-F, with some nights & weekends for events

Travel Requirement: This position requires travel to local market hospitals (Tampa, Clearwater, Brandon, and Town & Country).

The Senior Referral Coordinator supports hospital growth through referrals and execution of local marketing initiatives.

As a Senior Veterinary Referral Coordinator:

• Responsible for referral operations and workflow management, portal administration and optimization, tracking accuracy, and routine audits.
• Serves as the primary operational contact for referring veterinary practices.
• Builds and maintains strong relationships with assigned referral partners.
• Coordinates referral communication between referring veterinarians and clinicians.
• Supports onboarding of new referring practices and clinician introductions.
• Ensures timely resolution of referral questions and operational concerns.
• Maintains and improves in-hospital referral workflows.
• Performs routine audits to ensure referrals are accurately entered, assigned, and documented.
• Develops and reinforces standardized referral processes.
• Trains hospital teams on referral workflows and documentation expectations.
• Identifies workflow gaps and partner with hospital leadership to implement improvements.
• Monitors referral activity to ensure timely follow-up and appropriate case routing.
• Serves as the primary administrator for the referral portal.
• Maintains accurate clinician, service, and hospital information.
• Manages portal users, access, and referral routing.
• Educates referring practices on portal functionality and best practices.
• Promotes portal adoption during PDVM outreach.
• Monitors portal utilization and coordinate issue resolution.
• Maintains the Shared Referral Visit Tracker.
• Documents PDVM visits, referral opportunities, competitor intelligence, and follow-up actions.
• Provides referral activity updates and operational insights to the CES and hospital leadership.
• Maintains accurate referral reporting and documentation.
• Executes outreach plans developed by the CES.
• Conducts scheduled pDVM visits.
• Delivers approved marketing materials.
• Supports clinician introductions and service promotions.
• Gathers market intelligence and identify opportunities for CES follow-up.
• Coordinates continuing education and community event logistics.
• Manages registration, vendors, materials, and onsite execution.
• Completes post-event operational follow-up.
