Scientific Program Coordinator Full Time Philadelphia, PA, US 3 days ago Requisition ID: 1197 The Medical Education Division of the American College of Physicians (ACP) is seeking a candidate for the position of Scientific Program Coordinator for the Instructional Design and Events department.ACP, a national organization of internal medicine physicians with headquarters in Philadelphia, is the largest medical specialty organization and the second-largest physician group in the United States with more than 163,000 members worldwide. The Scientific Program Coordinator is responsible for producing and maintaining detailed electronic records relating to Scientific Program event content and faculty for the Internal Medicine Meeting (IMM). They will act as the primary point of contact to staff in the Medical Education Division (MED), other College divisions, and stakeholders to facilitate the collection and dissemination of Scientific Program information and logistics. This is a hybrid position (2 days on-site) located in our Philadelphia office. Responsibilities include but are not limited to: Providing administrative support for development and implementation of the Scientific Program. Preparing reports and mailing lists utilizing data from established Scientific Program databases. Coordinating production, compliance review, and dissemination of approved Internal Medicine Meeting (IMM) educational materials. Assisting in coordinating AV and technical equipment needs of IMM faculty. Serving as primary coordinator to manage the end-to-end process of expense reimbursement for IMM faculty. Coordinating development of IMM session evaluations with the Research and CME Compliance Department and IT for the purpose of sharing results with faculty and meeting planners, and maintaining a record of historical data for MED. Working in conjunction with MED staff to ensure timely and accurate collection of faculty disclosure information via the AAMC Convey Global Disclosure System. Providing on-demand requests for IMM faculty data at Internal Medicine Scientific Program Committee (IMSPC) meetings. Qualifications: Associate’s degree and minimum 1-3 years of relevant experience is required. Bachelor's degree is preferred. Familiarity with relational databases (e.g., Microsoft Access) or similar software preferred. Ability to manage relational data and its storage, retrieval, and analysis a plus. Advanced PC skills including Microsoft 365 and ability to learn new systems. Experience working for a membership association is desirable. Demonstrates strong verbal and written communication skills to effectively collaborate with faculty and College staff at all levels regarding the planning, implementation, and monitoring of complex projects.
