Senior AP Specialist

We are seeking a detail-oriented and experienced Senior Accounts Payable Specialist to oversee and support the full-cycle accounts payable process. This role is responsible for ensuring timely and accurate processing of invoices, expense reports, vendor payments, and account reconciliations while maintaining strong internal controls and vendor relationships. The ideal candidate has strong organizational skills, accounting knowledge, and the ability to work in a fast-paced environment. Key Responsibilities Process high-volume invoices accurately and efficiently Review and verify invoices, purchase orders, and payment requests for proper approval and coding Prepare and process weekly check runs, ACH payments, and wire transfers Reconcile vendor statements and resolve discrepancies in a timely manner Maintain vendor records, including W-9s and payment information Respond to vendor and internal inquiries regarding payment status and account issues Assist with month-end and year-end closing activities, including accruals and account reconciliations Ensure compliance with company policies, accounting procedures, and internal controls Support 1099 preparation and reporting processes Monitor AP aging reports and prioritize outstanding obligations Train and mentor junior AP staff as needed Assist with process improvements to increase efficiency and accuracy within the AP function Collaborate cross-functionally with accounting, procurement, and operations teams Qualifications Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred 3+ years of accounts payable experience required Experience in a senior or lead AP role preferred Strong understanding of accounting principles and AP processes Proficiency in Microsoft Excel and accounting/ERP systems Excellent attention to detail and organizational skills Strong communication and problem-solving abilities Ability to manage multiple priorities and meet deadlines in a fast-paced environment Preferred Skills Experience with ERP systems such as NetSuite, SAP, Oracle, or Microsoft Dynamics Knowledge of expense management systems and electronic payment platforms Ability to analyze data and identify discrepancies quickly Strong customer service mindset and vendor management experience Vaco by Highspring values a diverse workplace and strongly encourages women, people of color, LGBTQ+ individuals, people with disabilities, members of ethnic minorities, foreign-born residents, and veterans to apply.
