Staffing Clerk

Provides administrative staffing, scheduling and payroll support to department under general guidance and supervision of the department administrators. Essential responsibilities include:

• Coordinating department/unit to include: daily staffing needs, making reassignments, calling replacement personnel, and canceling personnel according to established procedures.
• Computing and recapping hours worked on assigned timecards.
• Resolving discrepancies or problems by referring to master schedules or appropriate supervisor.
• Working closely with the Staffing Office to resolve variances in the Master Schedule.
• Recharging hours from one cost center to another.
• Responding to questions from employees regarding timecard computations; payroll deductions and paycheck discrepancies, or referring person to appropriate department for assistance.
• Completing payroll adjustment form indicating payroll error on employees paycheck and forwarding to appropriate supervisor for approval.
• Typing and adjusting weekly and monthly staffing schedule and documenting all changes at time of occurrence.
• Gathering data and preparing routine reports, as requested by Supervisor; may prepare statistical reports for area.
• Assisting in maintaining attendance records for all unit personnel, recording tardiness, sick leave, vacation, leaves of absence, overtime, etc.
• Forwarding timecards and transmittal to payroll for processing; receiving and distributing paychecks and new timecards upon receipt.
• Answering incoming telephone calls for office, answering routine inquiries regarding staffing procedures, referring other calls to supervisors.
• Maintaining and monitoring file on licenses/renewals for all licensed personnel.
• Notifying personnel of impending license expiration and following up on late receipts of renewals.
• Filing a variety of documents including memorandums, letters, and personnel transaction forms.
• Performing related duties, as assigned.

Must be available to work variable shifts depending on the needs of the department.

Basic qualifications include:

• N/A.
• High School Diploma or General Education Development (GED) required.
• N/A

Additional requirements include:

• Administrative and organizational skills such as scheduling, payroll, and report preparation required.
• Typing skills: 25 words per minute.
• Experience in Customer Service.
• Experience with Multitasking.
• Experience with courtesy in dealing with irate customers.
• Working knowledge of basic computer skills required.
• Knowledge of medical terminology.
• Must be able to work in a Labor-Management Partnership environment.

Preferred qualifications include:

• Word processing skills: 55 WPM preferred.

This is an on-call position, days and hours may vary.
