DEAL FLOW COORDINATOR

As Deal Flow Coordinator at AcquiMatch, you'll be the operational heartbeat of our pipeline. You'll own deal communications end-to-end, make sure no deal slips through the cracks, and partner with brokers to keep information flowing. You'll work closely with analyst, client coordinators and advisors, and deal sourcing partners to ensure nothing is lost, late, or left behind. This isn’t a role for aspiring investment bankers or finance analysts. It’s for someone who lives for action and organization, who gets a rush from crossing things off the list, and who can diplomatically chase down unresponsive brokers while juggling multiple moving parts with grace and precision. What You'll Be Doing Pipeline Movement & Coordination Send and track NDAs, RFIs, CIMs, and other key documents across all active deals Manage communication with brokers, sellers, and other external parties to gather necessary materials and information to keep deals moving forward. Follow up (again and again if needed!) with clear, professional, and firm outreach across email, calls, and messages Schedule and confirm meetings between sellers/brokers and our internal vetting or advisory team Deal Process Administration Maintain precise tracking of deal statuses and next steps Ensure all required documents and information are logged, filed, and accessible to the right team members Surface red flags, delays, or issues to the appropriate internal team members and propose solutions proactively Cross-Team Collaboration Work closely with the Analysts and Client Advisors to make sure deal handoffs are seamless Partner with internal stakeholders to prioritize pipeline items and adjust focus based on client needs and team capacity Support team by ensuring timely flow of information needed for analysis and write-ups Your Experience & Skills Tech-forward with strong proficiency in our core stack: HubSpot CRM, Google Workspace, Slack, and AI tools. Comfortable learning new platforms quickly High agency, you spot issues, anticipate needs, and take initiative to solve them without being asked Exceptionally organized with high attention to detail, you catch what others miss Able to manage multiple tasks, priorities, and people without dropping balls Familiarity with small business M&A, ETA, or investment environments is a bonus 2+ years in a coordination-heavy role (executive assistant, project manager, operations coordinator, etc.), ideally with exposure to deal flow, sales operations, or pipeline management. Experience juggling communications across multiple parties, timelines, and formats Strong systems skills, Google Workspace, CRM (HubSpot), Slack, Airtable, and/or similar tools Fast typing, fast thinking, and a calm presence under pressure Excellent communicator Comfort with a high-responsibility, high-visibility support role inside a small, scaling team Can work with AI You’ll Love This Role If You Are Proactive with high agency, you don't touch-and-throw.
