Patient Service Coordinator

Overview US Oncology Network is looking for a Patient Services Coordinator to join Texas Oncology at the Diagnostic Imaging Department located at 9319 Pinecroft Drive Suite 100, The Woodlands, Texas. This full‑time position requires a work week Monday through Friday, 8:00 a.m. – 4:30 p.m. The role may be level 1, 2, or Sr. based on relevant work experience. What does the Patient Services Coordinator do? The Coordinator welcomes patients and friends/family, registers and schedules appointments efficiently, and answers, screens, and directs all incoming calls to the appropriate personnel, relaying messages between patients and clinical staff. The Coordinator supports and adheres to the US Oncology Compliance Program, including the Code of Ethics, Business Standards, and Shared Values. Responsibilities Greets patients and visitors promptly, courteously, and professionally; checks in patients and informs clinical staff of arrival. Provides and explains paperwork for patients to complete prior to examination, collects, proofs for completeness, files forms, updates demographics and insurance information in the system, collects co‑pays and balances, and provides receipts. Answers, screens, and responds to routine questions, routes calls to appropriate personnel, or takes thorough messages, paging clinic personnel as appropriate and communicating messages accurately and timely. Checks patients out after examination, schedules returning appointments per physician and/or office guidelines, and provides patients with appointment details such as time, location, directions, instruction sheets, and other details. Records patient cancellations and missed appointments, reschedules as needed, and notifies appropriate staff. Provides general administrative support by filing charts and forms, maintains the lobby area in a neat and orderly manner, and keeps a legible supply of forms and supplies. Adheres to confidentiality, state, federal, and HIPAA laws and guidelines regarding patient records. Performs other duties as requested or assigned; may type memos and forms. Qualifications Level 1 High school diploma or equivalent required. Some receptionist or office experience preferred. Proficiency with computer systems and Microsoft Office (Outlook, Word, Excel) required. Must successfully complete required e‑learning courses within 90 days of starting the position. Level 2 (including Level 1 Requirements) At least 18 months front‑medical office receptionist experience with insurance forms and scheduling software required. Knowledge of this practice’s personnel, daily routines, and scheduling a plus. Level Sr (including Level 1 and 2 Requirements) At least five years front‑medical office receptionist experience with insurance forms and scheduling software required. Physical Demands The role requires the employee to sit regularly and use hands to finger, handle, or feel. The employee is occasionally required to stand, walk, and reach with hands and arms, and sometimes lift or move up to 30 pounds. Vision and hearing corrected to normal ranges are required.
