Job Overview Position: Residency/Fellowship Program Manager – assists the Program Director with daily operation of the residency/fellowship program office. Work Shift: Day (United States of America); Full Time; 8‑hour days; 40 hours per week; Salary range: $41.00–$62.28 per hour. Department: GME Program Office. Qualifications Education: Bachelor’s degree (required) or three additional years of experience as a Residency Coordinator/Manager in lieu of degree (preferred); Master’s degree (preferred). Certification: Training Administrators for Graduate Medical Education (TAGME) – preferred. Experience: Three (3) years in Graduate Medical Education within a residency or fellowship program; with a Master’s degree, at least two (2) years. Required Knowledge, Skills, and Abilities Prioritization and deadline management; ability to work independently and delegate. Leadership and interpersonal skills, confidentiality, and stress‑resilient work. Proficiency with Microsoft Office, ERAS, NRMP, FREIDA, intranet, ACGME WebAds, MedHub, Windows, and related software. Problem‑solving, communication, budgeting, record‑keeping, HIPAA compliance, and GME accreditation requirements. Understanding of hospital and medical staff policies, wellness tools for physicians. Responsibilities Demonstrate compliance with the Code of Conduct and resolve related questions. Administer the residency/fellowship program in line with ACGME accreditation requirements. Oversee daily operation and logistics of the program; direct workflow and supervise administrative paperwork and file systems. Provide administrative support to the Program Director and serve as an educational liaison among attending physicians, fellows, residents, and regulatory offices. Oversee projects to achieve residency/fellowship goals and objectives. Direct annual revision of the residency/fellowship handbook and website. Assist the Director/Administrator of GME and Program Director in creating and implementing new policies and procedures. Assume a leadership role in accreditation and re‑accreditation activities; maintain all evaluations and annual reviews. Assist in maintaining program accreditation, institutional and departmental compliance, and ensure up‑to‑date ACGME documentation. Manage annual accreditation reviews and site visit preparations. Develop and oversee updates to recruitment information (websites, brochures, application services); act as liaison for prospective candidates. Manage applicant screening, interview scheduling, and the preparation of rank lists for NRMP. Assist in resident/fellow counseling meetings, ensuring confidentiality of files. Supervise human resource functions at the departmental level (leave, travel, personnel questions). Prepare and manage residency/fellowship department budget and administrative processes to maximize resource distribution. Ensure incoming residents/fellows receive required documentation and compliance records. Assist in creating yearly rotation schedules, elective and vacation schedules. Support block and assignment schedules for duty‑hour compliance. Develop new policies in response to revised ACGME requirements. Enforce program and resident/fellow compliance with accreditation policies. Prepare and submit reports to governing bodies and professional organizations. Verify accuracy of statistics used for FREIDA, AMA, and NRMP reporting. Schedule in‑service/in‑training annual exams. Ensure licensing and credentialing of residents/fellows, including foreign medical applicants. Assist with faculty development and credential verification. Allocate and manage resident/fellow housing for offsite rotations. Prepare and manage contracts for faculty, residents/fellows, outside affiliations, and vendors. Assist with orientation and training to institutional systems for new residents/fellows. Oversee resident/fellow events and activities (graduation, retreat, etc.).
