Administrative Support Coordinator Department: Critical Race, Gender & Sexuality Studies and Native American Studies Job # 558778 | Close Date: July 15, 2026 Classification: CSU Administrative Support Coordinator (11/12), full‑time, non‑exempt, 11/12 pay plan with one‑year probation. Salary: $4,003 – $5,832 per month (Step1‑20); anticipated hiring range $4,003 – $4,333 per month (Step1‑5). Position Summary Under the direction of the Department Chairs, the incumbent provides comprehensive administrative and fiscal support to the Critical Race Gender Sexuality department and the Native American Studies department. Responsibilities include office coordination, personnel administration, budgeting, scheduling, and liaison duties, all performed independently and in collaboration with staff, students, and external partners. Key Responsibilities Department/Program Office and Administrative Support – 25% Administer day‑to‑day clerical operations, develop and revise office procedures, and coordinate priorities and schedules. Provide guidance, training, and support to office student assistants and volunteers. Prepare, implement, and update departmental policies in collaboration with Chairs. Organize meetings, maintain minutes, and act as a central information resource for faculty, staff, students, and community members. Coordinate special events, such as workshops and retreats, and oversee facility maintenance requests. Maintain departmental files and websites, and support program review processes and student recruitment efforts. Administer scholarship awards, manage related records, and perform related clerical duties. Budgets and Fiscal Records – 25% Maintain fiscal records, expending funds, and overseeing departmental budgets with the College Budget Analyst. Track revenues and expenditures, prepare periodic analyses, and report to department and college personnel. Manage trust and scholarship account records and process payroll documents for student assistants and temporary staff. Ensure compliance with spending regulations and provide guidance on expenditure decisions. Personnel Administration Support – 20% Coordinate hiring, appointment, and separation processes for faculty, staff, and students. Collect and route documentation for academic personnel services, including reappointment, tenure, promotion, and temporary faculty evaluation. Assist in recruitment, screening, interviews, and offer negotiations; provide administrative support to search committees. Maintain knowledge of student employment policies and communicate changes to student employees. Support onboarding of new faculty and staff. Class Scheduling, Curriculum, and Enrollment Support – 25% Develop semester class schedules, resolve conflicts, and coordinate schedules with other departments. Build and proof lecturer contracts in PeopleSoft, coordinate room and equipment requests, and manage field trip processes. Validate accuracy of online schedules, prepare course descriptions, and monitor faculty workload reports. Serve as point of contact for registration, course permissions, and add/drop requests requiring departmental approval. Other Duties as Assigned – 5% Perform additional assigned administrative tasks as needed. Knowledge, Skills, and Abilities Comprehensive knowledge of university infrastructure, policies, and procedures. Proficiency in English grammar, punctuation, and spelling. Expertise with office software packages, technology, and systems. Ability to interpret and apply policies independently, troubleshoot administrative problems, and analyze operational issues. Strong business math skills, analytical judgment, and effective written communication. Interpersonal skills for handling sensitive situations and negotiating to achieve results. Related to the Major Responsibilities Willingness and ability to learn new software and related skills. Demonstrated sensitivity to cross‑cultural perspectives. Ability to build and maintain relationships with diverse stakeholders. Proficiency in managing multiple assignments independently. Strong oral and written communication skills with diverse populations. Capacity to handle sensitive information responsibly. Minimum Qualifications Applicants must possess fully functional knowledge of standard office procedures and practices, demonstrate strong English language skills, and have knowledge of business mathematics beyond basic arithmetic. A high school program, technical/vocational program, or equivalent, combined with several years of related office work experience is required. Preferred Qualifications Possession of a bachelor’s degree (or equivalent) and at least three years of progressively responsible administrative and clerical support experience in an academic or educational setting with a diverse student population.
