POSITION SUMMARY The Guest Services Specialist is a frontline hospitality professional responsible for protecting the guest experience and representing Destination Willamette with poise, clarity, and care. This role requires maturity, emotional intelligence, and sound judgment. You are often the voice and tone of the company, especially when guests have questions, concerns, or frustrations. While our systems handle most booking logistics, this role handles people. Success in this position comes from the ability to listen carefully, communicate clearly, remain level-headed during busy or high-pressure moments, and guide guests toward practical, thoughtful solutions. RESPONSIBILITIES Guest Experience & Communication Deliver consistently warm, professional, and empathetic communication with guests at every stage of their stay. Serve as a primary point of contact for guest questions, concerns, and support—especially when issues arise. Actively listen to guests, acknowledge concerns, and communicate clearly and confidently. Maintain thorough, accurate notes in our systems to ensure seamless communication across teams. Troubleshoot issues calmly and effectively, offering practical solutions while maintaining guest trust and confidence. Know when to resolve independently and when to escalate, always keeping the guest experience front and center. Concierge & Service Support Provide thoughtful, concierge-style assistance tailored to each guest, including: Local recommendations (wineries, restaurants, activities) Assistance with itineraries, transportation coordination, and special requests Hands-on support during active stays Anticipate guest needs whenever possible and offer helpful suggestions to enhance their experience. Represent Destination Willamette with warmth, professionalism, and genuine enthusiasm for the Willamette Valley. Internal Coordination Communicate effectively with housekeeping, maintenance, and operations teams regarding guest needs. Escalate issues appropriately while maintaining guest confidence and calm. Ensure relevant guest details and updates are shared with the correct departments. QUALIFICATIONS Required: 2+ years of experience in a customer service, hospitality, or administrative role Strong written and verbal communication skills Proficiency with email, phone communication, and computer systems Highly organized with strong attention to detail and follow-through Comfortable working in a structured environment with repetitive tasks Self-motivated with the ability to work independently and as part of a team Preferred: Familiarity with property management software or online travel agency platforms Knowledge of the Willamette Valley wine region Previous experience in hospitality or reservations coordination COMPENSATION & BENEFITS Hourly Rate: 16.00 - 23.00 Benefits: Paid time off such as PTO, sick days, and vacation days Retirement benefits or accounts Job Type: Full-Time Job Location: Newberg, OR area #J-18808-Ljbffr
