Front Desk Receptionist

The Joint Chiropractic in Charlottesville is looking for a Receptionist to join our team in our Charlottesville office. The Receptionist will greet and assist visitors and clients of the organization. The ideal candidate will deliver a professional and qualified first impression to all visitors. This person has excellent communication and customer service skills. He/she has a basic understanding of administrative and clerical procedures/systems and the ability to multitask in a busy environment. Responsibilities Guest services – Welcome guests, employees, and clients who arrive at the office and clarify the purpose of their visit and who they want to see. Answer all phone calls and emails sent to the main office and provide inter‑office messages as requested. Administration – Send out and receive mail, documents, supplies and packages. Distribute items to mailboxes and offices as requested. File and keep good records. Maintain office supplies and reorder as needed. Maintain an organized filing system. Manage a schedule for those needing support and schedule appointments as required. Requirements Associate’s degree is preferred. A high school diploma is required. Proficient with Microsoft Office Suite. Reliable, professional, courteous and patient. Excellent communication and writing skills. Responsibilities Greet visitors and clients warmly, ensuring a positive first impression. Manage multi‑line phone systems, directing calls efficiently and professionally. Handle appointment scheduling, calendar management, and data entry tasks using Microsoft Office and Google Workspace. Maintain accurate filing systems, perform proofreading, and ensure document accuracy. Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks. Provide customer support by answering inquiries promptly and courteously. Assist with clerical duties including typing, faxing, photocopying, and maintaining organized records. Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools. Excellent phone etiquette with experience managing multi‑line phone systems. Bilingual abilities are highly desirable to serve diverse client needs effectively. Prior office or administrative experience, including clerical tasks like filing and data entry. Exceptional organizational skills with the ability to prioritize tasks efficiently. Knowledge of office management practices and basic bookkeeping using QuickBooks or similar software. Strong attention to detail for proofreading documents and maintaining accurate records. Effective time management skills to handle multiple responsibilities seamlessly. Customer service orientation with a friendly demeanor and professional attitude. Experience as a medical or dental receptionist is a plus but not required; personal assistant experience is also beneficial.
